Legal Intake Coordinator

Job Summary
We are seeking a highly organized and detail-oriented Legal Intake Coordinator to join our legal team. This role involves managing initial client contacts, gathering case information, and coordinating with attorneys across various practice areas including estate planning, tax law, family law, personal injury law, and more. The ideal candidate will possess strong administrative skills, legal research experience, and excellent communication abilities to ensure efficient case intake processes and seamless client interactions.

Duties

  • Serve as the first point of contact for prospective clients via phone, email, and in-person inquiries, demonstrating professional phone etiquette and organizational skills.
  • Conduct thorough interviews with clients to gather relevant case information across diverse legal areas such as tax law, family law, probate law, estate planning, and others.
  • Utilize CLIO legal case management system and document management system to input data accurately and efficiently.
  • Perform document review to support initial case assessments.
  • Assist attorneys with administrative tasks including filing, data entry, document review, proofreading, transcription, and contract management.
  • Coordinate with legal teams to prioritize cases and ensure timely follow-up on client inquiries.
  • Support project management efforts related to legal case workflows and client onboarding processes.
  • Maintain organized files and records in compliance with confidentiality standards and firm policies.
  • Provide executive administrative support as needed to ensure smooth office operations.

Qualifications

  • Paralegal experience or prior legal administrative experience is highly preferred.
  • Familiarity with a variety of legal practice areas including estate planning, tax law, family law, personal injury law, real estate law, immigration law, and probate law.
  • Experience with CLIO case management software and of document management systems is a plus.
  • Strong organizational skills with the ability to manage multiple tasks efficiently in a fast-paced environment.
  • Excellent communication skills—both written and verbal—and professional phone etiquette.
  • Detail-oriented with strong proofreading and transcription skills.
  • Ability to perform legal research effectively and support litigation or other legal proceedings through diligent document review.
  • Familiarity with data entry procedures and clerical tasks such as filing and document management.
  • Proven ability to handle confidential information discreetly while maintaining high levels of accuracy in data entry and record keeping. Pay: $17.00 - $21.50 per hour
