Intake Specialist, Reception Support

We are seeking a compassionate, organized, and service-driven Intake Specialist / Receptionist to become an essential part of our team in Little Rock. This position serves as the first point of contact for many prospective clients and plays a critical role in creating a welcoming, professional experience that reflects our firm’s commitment to justice and client care.
What You’ll Do
Intake & Client Communication
- Serve as the first point of contact for prospective clients by phone, text, email, Zoom, and in-person meetings
- Listen with empathy while gathering detailed information about accidents, injuries, insurance coverage, and liability
- Evaluate and document potential claims accurately in case management and lead tracking systems
- Schedule consultations and maintain organized attorney calendars
- Guide clients through the onboarding process, including intake forms, documentation requests, and case setup
- Follow up with potential and existing clients to ensure a smooth and responsive experience
- Maintain accurate, confidential client records in compliance with firm policies and legal standards
Front Desk & Reception Support
- Welcome clients and visitors with professionalism and compassion
- Answer and direct incoming calls using a multi-line phone system
- Maintain a clean, organized, and professional reception area
- Assist with administrative duties including scanning, filing, mailing, data entry, and document preparation
- Support daily office operations and provide additional administrative assistance as needed
Team Collaboration
- Work closely with attorneys and staff to ensure timely case evaluations and client communication
- Assist with intake process improvements and team training initiatives
- Contribute to a positive, team-oriented office culture centered around service and accountability
What We’re Looking For
- 1–2 years of experience in customer service, intake, legal support, sales, or a related field
- Personal injury, legal, medical, or insurance experience is a plus
- Strong communication and interpersonal skills with a calm, compassionate approach
- Excellent organizational skills and attention to detail
- Ability to multitask and stay composed in a fast-paced environment
- Proficiency with Microsoft Office and/or Google Workspace
- Comfortable learning case management and lead tracking software
- Strong phone etiquette and professional written communication skills
- Bilingual preferred
- Commitment to confidentiality, professionalism, and exceptional client service
