Job Summary
The Office Legal Assistant IV manages the eReferral and case intake processes for the District Attorney’s office. Accepts new requests for charges and assigned the case to the appropriate prosecuting attorney. Monitors open cases and sends out discovery invoices to defense attorneys
Serves as the primary point of contact for members of the public interacting with the District Attorney’s Office. Answers phones and provides information to visitors, defendants, defense attorneys, probation agents and law enforcement officers.
Drafts and prepares letters, receives discovery fee payments, disperses interoffice mail and court documents, files open cases and records organization. Processes evidence release forms to law enforcement and maintains selected office equipment. Orders forms as necessary.
Closes out files and processes no issue letters. Determines if a letter needs to be generated and sent to the Clerk of Courts office to release bail money.
Essential Functions and Responsibilities
The following duties are primarily performed and are essential for this position. 45% Distributes Discovery & Receipt of Payments:
Processes credit card, money order and cash payment for discovery materials, deferred judgment agreements, and division agreement payments. Provides reports and electronic media to appropriate parties according to office policy and Wisconsin Statues.
30% New Referrals:
Accepts and processes requests for charges eReferred by law enforcement. Creates a new case file and assigns to the appropriate prosecuting attorney.
10% Reception:
Engages with and professionally encounters all manner of contacts in an extremely high volume position. Provides information to general public, attorneys, court staff, and law enforcement. Frequently encounters people displaying the very worst of human behaviors.
5% Close Case/Decline to Prosecute Letters:
Closes case. Sends letter to Clerk of Courts office for return of bail money on no processed cases.
5% Schedule Pretrial conferences:
Checks availability of prosecutors and schedules pretrial conferences on appropriate date and time.
3% Dept. of Corrections/Probation
Provides records via email to Department of Correction for the creation of presentence investigations.
2% Office Support:
Maintains copier, orders certain forms and requests office supplies, drafts letters/memos, maintains open files, processes evidence release forms by forwarding to appropriate parties.

Minimum Education Qualifications
Education and/or Experience Requirements:

High school diploma or equivalent.
- Two years of experience preferred in a legal office setting or further education in the legal field.
Licenses, Certifications, and Other Requirements:

Minimum Knowledge, Skills, and Abilities Qualifications
In order to perform the functions and responsibilities of the position (listed above) the following knowledge, skills, and abilities are essential.-
Knowledge of court procedures, practices, and legal terminology.
- Practical computer experience.
- Experience working with databases and document processing will be weighted favorably, including any relevant work with file sharing systems.
- Knowledge of modern office equipment; knowledge of spelling, punctuation, and grammar; skill in word processing, data entry, and editing documents; oral and written communication skills.
- Ability to work independently.
- Ability to perform difficult and varied tasks.
- Be very detail oriented.
- Familiarity with the criminal justice system would be helpful.

Work is performed in an office environment. May have to deal with irritated, agitated, hostile, or violent individuals.
Any clerical error could lead to a delay in case proceedings, a case being dismissed, or a violation of victim rights. We are responsible for multitasking and covering other support staff in their absence
