The Legal Operations Coordinator supports the Chief Legal Officer, Chief Compliance Officer, and Legal Department by combining administrative excellence with junior-level project coordination. This position is ideal for a highly organized and proactive professional who is eager to contribute to legal operations while growing their skills in cross-functional project management. The role includes managing calendars, coordinating meetings, tracking deadlines, organizing digital records, and supporting legal and compliance processes from initiation to completion. This position offers the opportunity to gain exposure to regulatory requirements, compliance operations, and the day-to-day responsibilities of a registered investment adviser. The ideal candidate is comfortable working in a dynamic, fast-paced environment and can synthesize information, managing priorities, and ensuring smooth workflow across the department.

Requirements

RESPONSIBILITIES:

  • Provide day-to-day administrative support to the Chief Legal Officer, Chief Compliance Officer, and broader legal team.
  • Coordinate and manage complex legal and compliance focused calendars, meetings, appointments, and follow-ups.
  • Track legal and compliance project timelines, deliverables, action items, and key milestones.
  • Review, summarize, and synthesize large volumes of contracts and legal documents into clear, digestible formats.
  • Prepare drafts for legal and compliance reports, trackers, department updates, presentations, and documentation.
  • Support contract administration processes, including reviews, signatures, and version tracking.
  • Organize and maintain shared digital filing systems and legal databases.
  • Monitor and update task tracking tools, timelines, and status reports for legal and compliance related matters and initiatives.
  • Support interdepartmental communication and ensure information flows efficiently across relevant stakeholders.
  • Assist in collecting, organizing, and preparing legal and compliance materials for internal reviews and external compliance needs.
  • Ensure accurate recordkeeping, documentation, organization and accessibility for audit, compliance, and regulatory requirements and exams.
  • Attend relevant internal meetings and maintain meeting notes, action items, and tracking documents.
  • Maintain the confidentiality and integrity of all legal and compliance communications and materials.


SKILLS AND QUALIFICATIONS:

  • 2–3 years of administrative, project coordination, or legal support experience; legal or compliance experience is a plus but not necessary.
  • Bachelor’s degree preferred; paralegal certificate a plus.
  • Excellent organizational skills with an ability to manage multiple priorities and deadlines simultaneously.
  • Strong attention to detail and ability to synthesize and summarize complex information.
  • Exceptional communication skills - written, verbal, and interpersonal - with a professional and proactive approach.
  • Advanced proficiency in Microsoft Office Suite (particularly Excel, Word, PowerPoint and Outlook); experience with artificial intelligence and document management systems is preferred.
  • Demonstrated ability to take initiative, work independently, and think strategically.
  • Comfortable with digital collaboration tools and managing shared drives, trackers, and templates.
  • Ability to anticipate needs, solve problems proactively, and follow through with minimal oversight.
  • Discretion and sound judgment when handling confidential or sensitive information.
  • A team player with a flexible, positive attitude and a strong sense of accountability.

Salary: $80-90k plus bonus
