We are a fast-growing personal injury law firm known for our client-focused approach, strong results, and highly collaborative environment. We are looking for a long-term team member who wants to grow with the firm — someone motivated, organized, proactive, and hungry to learn the inner workings of a successful PI practice.

This is a foundational role. The right person will become the backbone of our operations and will have the opportunity to grow into higher-level responsibilities as the firm expands.

Position Overview

The Legal Operations Coordinator will manage the daily workflow of the office and support the attorneys by keeping cases organized, clients updated, and the firm running efficiently. This is not a paralegal position and does not require legal drafting — it is an operational, administrative, and client-support role within a law firm setting. However, willingness to learn some basic legal documents would be helpful.

Ideal for someone highly organized, detail-oriented, tech-savvy, and eager to take ownership of their work.

Significant Opportunity for Growth

Key Responsibilities (not an exhaustive list)

  • Office & Calendar Management: Coordinate firm calendars, schedule depositions, court appearances, IMEs, and manage per diem coverage.
  • Case Coordination: Assist with new case setups including intake packages, representation letters, medical follow-ups, FOIL requests, and investigation tasks.
  • Case Management System Input: Maintain accurate, updated case information and track progress.
  • Client Communication: Handle intake calls, client follow-ups, updates, and appointment coordination. (We have a receptionist as well)
  • Referrals: Track incoming and outgoing referrals and maintain referral partner communication.
  • Document & Mail Handling: Open, scan, organize, and route mail; monitor deadlines; assist with filing needs.
  • Case Closing Tasks: Prepare and submit OCA closing statements.
  • Process Service Tracking: Follow up on status of summons & complaint service.

  • Comfortable learning new systems and technology
  • Dependable, professional, and able to multitask effectively
  • Experience in a law firm or similar administrative environment is a plus, but not required
