We are seeking a dynamic and detail-oriented Legal Receptionist/Administrative Assistant to join our busy legal team.

Responsibilities
- Greet clients, visitors, and vendors warmly and professionally at the front desk, ensuring a positive first impression.
- Manage multi-line phone systems efficiently, directing calls accurately and courteously while maintaining excellent phone etiquette.
- Schedule appointments, coordinate calendars, and assist with case or client file organization using Microsoft Office, Google Workspace, and other office management tools.
- Perform data entry, filing, and document proofreading to ensure accuracy and compliance with firm standards.
- Handle incoming and outgoing correspondence, including emails and mail distribution, with attention to detail.
- Support bookkeeping activities using QuickBooks or similar accounting software for billing and invoicing purposes.
- Maintain office supplies inventory, organize files systematically, and ensure the reception area remains welcoming and professional.
- Provide general administrative support such as copying, scanning, proofreading documents, and assisting with personal assistant tasks as needed.
- File entry documents on MEC
Qualifications
- Proven experience in office administration or clerical roles within a professional environment; legal or medical receptionist experience is a plus.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry skills.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting.
- Exceptional customer service skills coupled with professional phone etiquette for handling multi-line phone systems.
- Bilingual abilities are highly desirable to assist diverse client needs efficiently.
- Experience with QuickBooks or bookkeeping software is preferred but not required.
- Attention to detail for proofreading documents and managing confidential information securely.
