We are seeking a dynamic and detail-oriented Legal Receptionist/Administrative Assistant to join our busy legal practice. Responsibilities
- Greet clients, visitors, and vendors warmly and professionally, providing exceptional customer service at all times
- Manage multi-line phone systems, directing calls efficiently and courteously while taking detailed messages when necessary
- Maintain the front desk area, ensuring it is organized, tidy, and welcoming for all guests
- Schedule appointments, manage calendars, and coordinate meetings for attorneys and staff using digital tools such as Google Workspace and Microsoft Office
- Handle data entry, filing, and document proofreading with accuracy to support case preparation and administrative workflows
- Assist with office management tasks including supply inventory, record keeping, and basic bookkeeping using QuickBooks or similar software
- Support legal staff with clerical duties such as copying, scanning, faxing, and managing incoming/outgoing correspondence
Skills
- Proven experience in office management or administrative roles within a professional environment
- Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting
- Exceptional phone etiquette and customer service skills; bilingual abilities are a plus for serving diverse clients
- Familiarity with multi-line phone systems, data entry, filing systems, and proofing documents accurately
- Knowledge of office equipment such as printers, scanners, and fax machines; experience with clerical software like QuickBooks is advantageous
- Ability to handle sensitive information discreetly while demonstrating strong time management and multitasking capabilities
- Previous experience as a legal receptionist or medical/dental receptionist is beneficial but not required; personal assistant experience is also valued
