Sheppard Mullin Richter & Hampton LLP, a global Am Law 50 firm, has an opening for a Legal Recruiting Assistant in our New York office.
As a member of the Sheppard Mullin’s Entry-Level Recruiting Team, the Legal Recruiting Assistant will support the New York office on all aspects of entry-level recruiting processes, including law student recruiting, the summer associate program, and campus relations; as well as provide administrative support to the firmwide Entry-Level Legal Recruiting team. Additional responsibilities include assistance with Talent Management goals related to professional development and diversity and inclusion.
Responsibilities
Primary Responsibilities and Expectations

Support all aspects of the entry-level recruiting cycle including applicant review and selection, interview scheduling, feedback collection, and coordination of decision-making conversations with the Recruiting Committee.

Maintain applicant records and statuses via the applicant tracking system; ensure consistent and correct data integrity.

Assist with leading office Recruiting Committee meetings. Track follow-up between candidates and attorneys after recruiting events and throughout the interview process.

Assist with on-campus outreach to student organizations and career services offices to track, coordinate, and staff various panels, receptions, and other events for law students. Assist with all aspects of the summer associate program including, but not limited to, onboarding, orientation, planning, and attending all social events.

Serve as summer program contact for local office, maintaining evaluation files for the summer associates and working with practice group work coordinators and attorney mentors to ensure positive summer associate experiences.

Manage budget and expense reconciliation for student recruiting and summer associate program-related expenses.

Assist with content related to law student recruiting for firm’s social media accounts.

Assist with applicant tracking system updates as needed

Assist with managing promotional material inventory.

General administrative support including arranging conference rooms and catering reservations and general filing.

Support national entry-level recruiting projects and initiatives as assigned.
Essential Functions Of Job

Review and compile candidate materials to assist in the interview selection process.

Identify interviewers and generate interview schedules for distribution to attorneys through the applicant tracking system. interviews for summer associate candidates.

Facilitate decision-making conversations with appropriate parties in accordance with established strategic goals.

Draft offer letters and template candidate email correspondence.

Prepare reports and materials for Recruiting Committee meetings.

Plan and execute on-campus events with student organizations and career services offices to promote student engagement and firm marketing efforts.

Organize attendance tracking and appropriate follow-up with student attendees from various on-campus events.

Work collaboratively and communicate with the Recruiting Committee and local office leadership to execute successful onboarding and orientation, and integration of summer associates.

Arrange event logistics including transportation, invitations, RSVP tracking, and nametag creation.

Collect and compile attorney and mentor feedback on summer associates throughout the program.

Process and track expense vouchers and invoices.

Order promotional materials for students and attorneys.

Support general entry-level recruiting related administrative tasks including, but not limited to, email inbox organization, technology resource support, and survey completion.

Preferred Qualifications:
Prior law firm or corporate recruiting experience in a professional services environment a plus.
Education
Required:
Bachelor’s Degree
Computer/Software Knowledge
Required:
Must have computer skills in Word, Excel, and PowerPoint.

Knowledge of Flo Recruit, Canva, Symplicity and NetDocs systems is a plus.

Advanced web skills and basic web/graphic design skills are helpful.
Work Environment

Working indoors with limited exposure to hazards (only those that customarily exist when working in a high-rise building).

Indoor office work environment.

Current firm policy is hybrid–working in the office a minimum of 3 days per week, and working from home the rest of the week (subject to change). Additionally, this position will require coming into the office more than 3 days a week during May through July and potentially other months, as needed.

Overtime may be required as the job duties demand.
Travel Requirements
Up to 25% travel to other U.S. offices for firm and recruiting events, as necessary.
The pay range for this position is: $32.00 - $38.00 per hour. Please note that the foregoing compensation information is a good-faith assessment associated with this position only and is provided pursuant to the New York City Salary Transparency Law.
