Position Overview


We are seeking a detail-oriented and proactive Legal Secretary to provide high-quality support to our attorneys and legal team. In this role, you will be instrumental in ensuring the smooth operation of the office, assisting with legal documentation, client communications, and case management. The ideal candidate thrives in a fast-paced environment, demonstrates excellent organizational skills, and contributes to superior client service.


Key Responsibilities

  • Prepare, draft, and review legal documents, correspondence, and filings with accuracy and attention to detail.
  • Assist attorneys in managing case files, including organizing documents, maintaining electronic and physical files, and tracking deadlines.
  • Support transaction closings, including preparing closing binders, organizing signature packets, and reviewing documents.
  • Maintain client intake records, perform conflict checks, and ensure compliance with firm procedures.
  • Manage attorney calendars, schedule meetings, and coordinate client communications.
  • Prepare expense reports, timesheets, and travel arrangements as needed.
  • Assist with billing processes and handle invoice-related communications.
  • Serve as a resource to colleagues, providing guidance and support to new team members.
  • Collaborate with other departments to ensure efficient workflow and legal support.
  • Perform notarial acts as required and maintain an active notary commission.
  • Participate in firm training sessions and maintain familiarity with legal technology tools.


Qualifications

  • High school diploma required; college degree preferred.
  • 1–3 years of experience in a law firm or legal department preferred.
  • Proficiency in MS Word, Excel, Adobe Acrobat, DocuSign, and time-entry systems.
  • Experience managing complex document markups and multiple assignments under tight deadlines.
  • Strong written, verbal, and interpersonal communication skills.
  • Detail-oriented, adaptable, and proactive with a team-oriented mindset.
