LEGAL SECRETARY - PROS ATTY - Part Time/Flexible Scheduling Possible

Actively hiring for administrative professional to fulfill the requirements of legal secretarial/paralegal work for the Jackson County Prosecutor's Office. PAID HOLIDAYS UPON HIRE! Preferred candidate will have advanced coursework in legal secretarial areas and 2 to 3 years experience. Flexible scheduling to suit the candidates needs possible up to 29 hours per week. Hourly pay rate increases to $19.76 on January 1, 2026.

RESPONSIBILITIES: Performs varied secretarial and support functions for the legal staff. Responsible for the processing of criminal files from initiation to closure for all courts in the County and the State appellate courts. Activities include preparing and processing legal documents, preparing and issuing subpoenas, opening and maintaining case files and providing general secretarial support. Essential Functions include but are not limited to:

1. Prepares and types various motions, orders, warrants, search warrants, bench warrants, writ of habeas corpus, subpoenas, juvenile court petitions, trial narratives and outlines, and other legal forms and documents and prepares proofs of service as appropriate. Types briefs, answers and correspondence for the prosecuting attorneys. Proofreads documents for spelling, punctuation, grammar and format. Composes and types correspondence for approval of trial attorneys.
2. Enters data on court cases to computer and generates warrants, subpoenas, family support complaints and other legal documents. Utilizes the computer systems in the office of the Prosecuting Attorney, District Court, Circuit Court, and personal computer application software packages.
3. Responds to telephone callers and visitors and answers inquiries of attorneys, parties, victims, witnesses, law enforcement agencies, medical professionals and others regarding departmental procedures, schedules, case information and other matters. Collects preliminary information and completes appropriate forms or takes detailed notes.
4. Opens district, circuit, and juvenile files, enters case information to computer, and files all documentation within time limits of various court rules and federal regulations. Processes all police reports and other information received from area police departments. Orders police reports for District Court ticket cases. Files documents with the court and continually updates files until cases are closed. Maintains statistics of legal activities such as incoming petitions, misdemeanors and felonies authorized, and dispositions.
5. Assists in coordinating the calendar of staff, electronically and/or paper files for scheduled cases and distributes to appropriate attorneys.
6. Performs a variety of secretarial support tasks such as typing forms, reviewing and distributing mail, filing updates to law books, copying, faxing, and filing.
7. In the absence of the Chief of Administrative Services, assume computer responsibilities such as equipment troubleshooting and maintenance, makes contacts with PAAM and outside vendors for assistance with solutions, and prepares witness night tape.
8. Assists in training of new staff members and cross-training of current staff.
9. Assumes the responsibilities of other staff members in their absence or as workloads dictate.

QUALIFICATIONS: Education: High school graduation or equivalent. Advanced coursework in word processing, legal secretarial areas and/or paralegal training.

Experience: Two to three years of prior typist/secretarial experience in a legal setting providing a knowledge of legal terminology and court procedures. Requires some knowledge or experience with computer systems including database methodology, merge functions, network environments, and the software used in the office. Ability to type 50 wpm.

Other Requirements: Ability to become LEIN certified.

PART-TIME/29 HOURS PER WEEK - FLEXIBLE SCHEDULE POSSIBLE:

This is a non-exempt position with the AFSCME Bargaining Unit, Pay Grade E, offering excellent benefits, including investment plan options, PTO accrual and PAID HOLIDAYS UPON HIRE!
