The Legal Services Assistant provides advanced level administrative support to the General Counsel (GC) in areas of correspondence, policies and procedures, contract management, office support, and other interdepartmental communications while also ensuring their accuracy, quality, and integrity. The Legal Services Assistant will also be responsible for a highly advanced level of reviewing, editing, and formatting, policies and procedures and other forms or documents.

Provide advanced level administrative and legal support with minimal oversight needed

Attend, record, or prepare minutes of meetings and make appropriate preparations for the meeting including handouts, audio/video equipment, and meals/refreshments as necessary

Conduct research and fact-checking
-
Serve as first-level reviewer of contracts submitted for approval; process routine requests and forward recommended revisions to General Counsel for review. Collaborate with staff during the contract management process.

Proofread forms and attachments for typographical error and consistency CMC-wide; format forms and documents for CMC departments, upon request.

Manage the corporation’s policy manual; familiarizes oneself with all policies and procedures in order to serve as a resource to the GC and serve as policy contact for staff inquiries and assistance

Recommends revisions to ensure consistency among all policies and procedures, such as formatting and language/terms specific to CMC
- Monitor the implementation of new projects, programs, and procedures for the department

Review, edit, and format documents and initiate/manage document workflows

Store, manage, track, and maintain department documents

Provide training to educate staff on updates to policies, procedures, or other new protocols
-
Track policies and collaborate with CMC policy authors to ensure all policies and procedures are reviewed and updated in a timely manner consistent with HRSA and Joint Commission requirements

Provide back up support during manager’s absence to assure appropriate referral to delegated authority or resolution

Compose, type, and file correspondence, reports, and other documents

Handle confidential information and matters of discretion in a professional manner

Organize travel arrangements

Perform other duties as assigned

Bachelor’s degree with 3 years of experience, AA degree with 5 years of administrative assistant experience, or High School diploma with 7 years of experience.

At least 2 years of administrative and legal assistant supporting executive management level. Experience in a health care organization is preferred.

Advanced knowledge of word processing and forms development software, including MS Office, Adobe Acrobat Pro, review policies and procedures and contract management software.

Ability to communicate in English written and verbal, at college level

Ability to word process at 70 wpm. Applicant to provide certificate

Requires prolonged sitting, some bending, stooping, and stretching. Requires eye-hand. coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment. Requires normal range of hearing and eyesight to record, prepare and communicate appropriate reports. Requires lifting papers or boxes up to 25 pounds. Requires dexterity to word process at 70 wpm.
Work is performed in an office environment within a clinic setting. Involves frequent contact with staff and the public. Work may be stressful at times. Contact may involve dealing with upset people.
