Position Overview

The Library Program & Events Coordinator plays a key operational role in bringing library programs and events to life. This position focuses on the logistics and administrative tasks required to support successful programming, working closely with facilitators, vendors, and internal teams across the department.

The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple projects with competing deadlines. They bring creative problem-solving to program support while staying grounded in clear communication, processes, and follow-through. Familiarity with adult programming or community-based events is helpful but not required.

Key Responsibilities

Program & Event Coordination

  • Support the planning and delivery of library programs by coordinating logistics, timelines, and communication.
  • Collect, track, and coordinate program proposals from library staff.
  • Serve as the primary point of contact for facilitators, presenters, and community partners.
  • Assist with developing or leading occasional library programs when needed.

Administrative & Operational Support

  • Support Library programming by managing program agreements and related administrative tasks.
  • Collaborate with supervisors to submit event details to Marketing and ensure promotional materials are accurate and timely.
  • Maintain updated program information and prepare work group reports across internal platforms and staff communication channels.
  • Gather and use program data to demonstrate the library's impact and elevate its profile within the community.

On-Site Event Support

  • Provide hands-on assistance before, during, and after programs, including setup, and teardown.
  • Ensure facilitators have the support they need and troubleshoot issues on the day of the event.
  • Help monitor event flow to create a welcoming, inclusive experience for attendees.

Ideal Candidate Profile

The strongest candidates will bring:

  • Clear and proactive communication, particularly when coordinating across library teams and with external partners.
  • Attention to detail and the ability to manage multiple moving parts simultaneously.
  • Exceptional organizational skills, including managing logistics, timelines, and shifting priorities.
  • A collaborative, service-oriented approach working with staff, facilitators, and partners.
  • Adaptability, with confidence navigating unexpected changes or event-day challenges.
  • Ability to assist with basic technology needs, including AV equipment.

Anticipated Schedule

Anticipated Schedule: Tuesday, Wednesday, Friday, and Saturday from 9:00 AM – 6:00 PM, and Thursday from 11:15 AM – 8:15 PM.

Acceptable Experience and Training

  • Bachelor’s degree in Public Relations, Communications, Social Services, or a closely related field (such as education), and
  • Three years’ experience working with a diverse population, including
  • One year of program support and project planning experience, or
  • An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above will be considered.

Licensing and Certifications

  • Valid driver’s license and safe driving record.

Preferred Qualifications

  • Experience coordinating community, educational, or adult programs.
  • Experience supporting logistics in event, hospitality, parks & recreation, nonprofit, or related settings.
  • Familiarity with working in a library environment or alongside community-focused organizations.
  • Familiarity with project management tools or approaches

Bilingual Incentive Pay Available

Employees who can demonstrate the ability to speak Spanish, or any language spoken by over ten percent (10%) of City residents as documented by the most recent U.S. Census, at a proficiency level determined by a fluency test administered by the City, will receive a monthly premium of three percent (3%) of their regular base pay.
