Job Summary

The Library Specialist also serves as a strategic engagement specialist, supporting the Gray Library’s internal communications, service coordination, and operational continuity. This position facilitates information flow across library units, maintains communication and documentation processes, and enhances a consistent, user-centered experience through visual and digital content support. The role additionally provides backup for service and workflow functions to ensure smooth daily operations and effective communication within the library and across the campus community.


Essential Job Functions

Communication and Engagement Support:
  • Track and schedule annual library engagement efforts.
  • Contribute to the preparation of print and digital materials highlighting library resources, programs, and services.
  • Support the development and implementation of an internal communications plan that aligns with organizational goals and values.
  • Draft, edit, and distribute organizational announcements, newsletters, talking points, leadership messages, and other internal materials.
  • Maintain and help manage staff communication platforms (e.g., email, Teams, digital signage, events, or others as needed).
Visual and Digital Content Development:
  • Create or adapt visually appealing materials such as graphics, charts, slides, and signage – to support internal and external communications, campaigns, and showcase events.
  • Draft text and arrange/create visuals (e.g., Creative Services) for event announcements/marketing.
  • Conduct a regular scan of the library website for accuracy, accessibility, and functional links.
  • Assist in maintaining consistent design elements and clear presentation across library communication platforms.
  • Schedule event announcements/marketing in Campus Announcements (e.g., Office of Marketing Communication) and LU Hub.
  • Schedule catering, space, and other campus resources for events 30% LU Job Description Form v.23.02 g. Coordinate, design, and acquire promotional items.
Operational and Service Support:
  • Respond to or triage incoming help tickets and assign or resolve issues in coordination with relevant staff.
  • Document organization to ensure efficient workflows and accessible records for documentation and tracking.
  • Provide backup support for staff during high-demand periods or absences.
  • Contribute to a collaborative working environment that emphasizes responsiveness, accuracy, and service reliability.
Professional Development:
  • Maintain and develop relevant skills in digital communication, project organization, and office software tools.
  • Attend workshops or training sessions that support job-related growth and effectiveness.
  • Perform other duties assigned to support the mission and operations of the library and university.

Minimum and Desired Qualifications

Minimum Qualifications:
  • Two years of general college coursework.
  • High School diploma or equivalent.
  • A minimum of six months of experience in communications, visual or graphic design, social media management, writing, or related fields.
  • Experience in providing customer service in a public-facing or service-oriented role.
Desired Qualifications:
  • BA/BS in business, marketing, communications, IT, education, or related field.
  • Experience preparing content for web or digital displays.
  • Experience with communication planning and graphic design.
  • One or more years of customer service or public service experience.

Supplemental Information

Key Competencies:
  • Proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
  • Experience using visual or graphic design tools such as Canva, Photoshop, or similar software.
  • Strong project coordination skills and the ability to manage multiple priorities.
  • Clear and effective oral and written communication abilities.
  • Ability to adapt to changing needs and collaborate effectively with diverse students, faculty, and staff.
  • Strong attention to detail and commitment to accuracy in documentation and communication.
Physical Requirements:
  • Able to lift 25 pounds and be able to perform a variety of physical tasks, including lifting, bending, stooping, squatting, stair climbing, and walking between buildings.
Job Conditions:
  • Primarily an indoor, library or office environment with frequent verbal interaction.
