Executive Assistant – Full-Time, In-Office

Hannah Reno Real Estate at Keller Williams is seeking a highly organized, detail-oriented Executive Assistant to support operations, agent services, marketing coordination, client communication, scheduling, and administrative functions. The ideal candidate is proactive, professional, tech-savvy, and able to manage multiple priorities in a fast-paced environment while maintaining exceptional customer service.

Requirements:

  • Active Montana Real Estate License required at time of hire
  • Strong organizational and communication skills
  • Ability to work independently and maintain confidentiality
  • Proficiency with Microsoft Office, Google Workspace, and real estate technology platforms preferred

Position Details:

Full-Time

Monday–Friday

In-Office Position

Hybrid or remote work is not available

MUST HAVE ACTIVE MONTANA REAL ESTATE LICENSE.

Responsibilities

  • Manage executive calendars, appointments, meetings, and travel arrangements.
  • Coordinate brokerage events, training sessions, and client appreciation events.
  • Assist with real estate transaction management and compliance tracking.
  • Prepare, review, and maintain contracts, disclosures, and broker documents.
  • Serve as a point of contact for agents, clients, vendors, and business partners.
  • Manage incoming calls, emails, and office communications.
  • Create and coordinate marketing materials, social media content, and email campaigns.
  • Maintain agent files and ensure compliance with brokerage and state regulations.
  • Track projects, deadlines, and follow-up tasks to ensure timely completion.
  • Coordinate vendor relationships and office service providers.
  • Prepare reports, spreadsheets, presentations, and meeting materials.
  • Maintain office organization, supplies, and daily operations.
  • Assist with recruiting efforts, career nights, and brokerage growth initiatives.
  • Handle confidential information with professionalism and discretion.
  • Provide exceptional customer service to clients, agents, and visitors.
  • Support the Operating Principal and leadership team with special projects and strategic initiatives as assigned.

Pay: $18.00 - $21.00 per hour
