Litigation Legal Administrative Assistant

Provides administrative support to attorneys in litigation, employment law and immigration area. Responsible for assisting with production of correspondence, memoranda, agreements, reports, pleadings and other legal documents and filings.

Job Duties and Responsibilities:

1. Provide general administrative support to attorneys. Produce documents by transcribing, formatting, inputting, editing, retrieving, copying and transmitting text, data, and graphics.

2. Prepare and assemble pleadings, other materials, legal documents and exhibits for meetings, court appearances, depositions, trial and hearings.

3. Review legal documents to ensure they are in proper format and contain all necessary portions or related documents for court acceptance.

4. File legal documents with proper courts or administrative agencies.

5. Sort, open, log and distribute incoming and outgoing mail.

6. Create, proofread, edit, and mail daily, written and electronic, correspondence.

7. Handle calendaring and scheduling of conference calls and meetings and maintain calendar and docket items. Act as a liaison between client and attorney on the phone and via e-mail.

8. File and scan correspondence, legal documents and emails, as appropriate, in the office filing system or document management system and ensure proper indexing and filing of original legal documents.

9. Enter attorney’s time into firm’s billing system.

10. Arrange business itineraries by coordinating travel reservations.

11. Assist additional attorneys when other Legal Administrative Assistants are out of the office.

12. Assist with providing coverage of the front desk when the Receptionist is out of the office.

13. Other duties as assigned.

Job Requirements:

1. Associate degree or equivalent required. Bachelor’s Degree or equivalent preferred.

2. Legal support experience in a similar position preferred.

3. Requires daily use of PC, (including Word, Excel, PowerPoint, Outlook, Access, SurePoint, Adobe, Iowa Docs, Right-fax, and iManage), copier, printer, scanner, and fax machine.

4. Must be highly organized, detail-oriented, and able to manage multiple high-volume priorities in a fast-paced environment. Must exhibit ability to prioritize tasks and complete assignments under pressure and tight deadlines.

5. Excellent interpersonal, written and oral communication skills necessary. Ability to proofread and use proper grammar, spelling, and punctuation.

6. Ability to maintain confidential client and firm information in a professional and trustworthy manner.

7. Ability to solve problems in a timely manner and interpret a variety of instructions furnished in written, oral, or electronic form.

8. Some filing is required. This would entail lifting files up to 15 pounds, opening filing cabinets, bending, stooping, and standing as necessary.

9. Requires sitting and typing for long periods of time.

10. Position is on-site Monday through Friday 8:00 am to 5:00 pm with an hour lunch break.
