Lobby Ambassador

We are seeking an organized and proactive Lobby Ambassador to manage various administrative tasks and support functions within our facility. The ideal candidate will possess excellent communication skills, attention to detail, and the ability to multitask effectively. This role involves managing visitor registration, supporting new hire orientation, handling deliveries, maintaining reception areas, and providing administrative assistance as needed.

Pay Range $24-27/hour

Hours of Operation 11:00am – 8:00pm, M-F

Responsibilities

Visitor Management:

Manage visitor registration and badge issuance for the facility, including badge activation and deactivation.

New Hire Support:

Assist in new hire orientation processes and printing of employee/contractor badges, as well as temporary badges/day access.

Mail and Package Handling:

Process, scan, and sort incoming mail/freight and packages. Prepare outgoing shipments and interact with mail/freight carriers such as USPS, FedEx, and UPS. Record data of all incoming packages and manage distribution.

Facilities Maintenance:

Maintain work area in an orderly and neat fashion, including reception area, amenities, and conference rooms. Perform building inspections and manage the appearance of common areas within the office.

Front Desk Duties:

Act as backup for front desk duties, including greeting guests, answering phones, filing, and copying.

Vendor and Supplier Management:

Manage supplier visits, vendor management, and escorting. Coordinate deliveries and handle the processing of incoming and outgoing common carrier deliveries.

Inventory Management:

Manage pantry/kitchen and office supply inventory, including ordering and restocking supplies.

Meeting Coordination:

Coordinate and schedule meetings, including ordering catering and setting up conference rooms.

Work Order Management:

Follow proper work order/request procedures and confirm receipt, ensuring work schedules are made within 24 hours of the order.

Security Compliance:

Ensure turnstile compliance, manage security alarm notifications to facilities staff, and facilitate intercom communications.

Data Management:

Provide reception metrics and keep the facilities calendar up to date on a daily basis. Input the cost of food into the food and beverage spreadsheet weekly and upload food receipts to the designated folder.

Event Management:

Set up events the evening before and manage orders for food and decorations.

System Operation:

Manage Purple Tie – linen account and operate the Kastle building card system access.

HR Support:

Provide meeting support to HR/Executive assistant as needed.

Ad Hoc Support:

Perform other duties as assigned to support site needs.


Requirements

  • High School Diploma or equivalent (GED)
  • Excellent communication skills both verbal and written
  • Proficiency using office equipment (ie- copiers, printers, scanners)
  • Competency in performing multiple functional tasks
  • Windows, and Microsoft Office PC proficiency
  • Customer Service / Facility mgmt/Mail / Shipping & Receiving/Security background preferred.
  • Ability to effectively work individually or in a team environment
  • Ability to walk and stand for extended periods of time
  • A valid driver’s license and reliable transportation to/from work
