Logistics & Commercial Projects Coordinator

About the Role
We are looking for a highly organized, proactive Logistics & Commercial Projects Coordinator to join our growing operations team. This role is ideal for someone who enjoys keeping projects moving, solving problems, and making sure details are handled the right way.
In this position, you will help coordinate the day-to-day operational and administrative flow of commercial moving, storage, and logistics projects. You will play a key role in preparing job documentation, coordinating deliveries and shipments, maintaining receiving and inventory records, and supporting accurate billing once work is complete.
This is an important role for someone who thrives in a fast-paced environment, communicates well with different teams, and takes pride in keeping projects organized from start to finish.
What You’ll Do
Project Coordination
- Prepare job packets, paperwork, and operational documents for upcoming commercial moving and logistics projects
- Help coordinate scheduling for deliveries, installations, relocations, and project-based work
- Maintain project timelines and ensure crews and operations staff have accurate job information
- Support operations leadership in planning and coordinating multi-phase commercial projects
Receiving & Warehouse Support
- Manage receiving reports for inbound shipments and warehouse inventory
- Track inbound freight and verify shipments against purchase orders, bills of lading, or other documentation
- Document shortages, damages, or discrepancies and communicate them to the appropriate teams
- Maintain accurate inventory and storage records for customer goods
Transportation & Logistics Coordination
- Coordinate pickups and deliveries with carriers, vendors, and transportation partners
- Communicate delivery schedules and project requirements with drivers, field crews, and project managers
- Monitor shipment status and help ensure materials and goods arrive on time and in the right place
Billing & Administrative Support
- Prepare billing backup for completed jobs, including labor, transportation, storage, and related services
- Review job paperwork for completeness and accuracy before invoicing
- Work closely with accounting to help ensure invoices are processed correctly and on time
Communication & Customer Support
- Serve as a key point of contact for internal teams and customers regarding project status, logistics updates, and documentation
- Communicate schedule changes, delivery updates, and important project information clearly and professionally
- Maintain organized digital files and records for jobs, reports, and operational documents
What We’re Looking For
- 2+ years of experience in logistics, operations coordination, project coordination, transportation, moving and storage, or a related field
- Strong organizational skills and attention to detail
- Ability to manage multiple projects, priorities, and deadlines at once
- Strong written and verbal communication skills
- Proficiency in Microsoft Office, especially Excel, Word, and Outlook
- Experience with logistics, warehouse, or moving software is a plus
