Logistics & Export Operations Assistant

(Export – Loading – Shipment Coordination – Dispatch Support)

Logistics Supervisor / Logistics Manager

4. Job Purpose

To support daily logistics operations by coordinating export shipments, organizing loading activities, preparing required documentation, and ensuring smooth delivery of goods to customers and logistics partners.

5. Key Responsibilities

A. Export & Shipping Coordination

Assist in arranging export shipments (sea, land, and air).

Coordinate with freight forwarders, shipping lines, and customs clearing agents.

Follow up on shipping schedules, ETD/ETA updates, and delivery timelines.

B. Loading & Warehouse Support

Supervise loading and unloading activities at the warehouse.

Ensure proper handling of goods (solar panels, inverters, batteries, etc.).

Verify quantities, pallet condition, and packaging before dispatch.

Take photos of shipments before and after loading as per company policy.

C. Documentation & Compliance

Prepare and support export documents such as:

Commercial Invoice

Packing List

Delivery Note

Bill of Lading / Sea Waybill

Certificate of Origin (if required)

Ensure shipments comply with export procedures and internal SOPs.

D. Coordination with Internal Departments

Coordinate with the Sales Team regarding customer orders and delivery requirements.

Work closely with the Finance Department for shipping release and approval processes.

Communicate with Procurement regarding stock availability and dispatch readiness.

E. System Updates & Reporting

Update shipment status in the company ERP system (Odoo).

Maintain proper filing and archiving of shipping and export documents.

Report any delays, damages, or issues during loading or export operations.

6. Required Skills & Qualifications

Basic experience in logistics, export, or warehouse operations.

Knowledge of shipping and customs procedures is an advantage.

Ability to work under pressure and meet deadlines.

Strong communication and coordination skills.

Familiarity with ERP systems (Odoo preferred).

7. Key Performance Indicators (KPIs)

On-time shipment preparation and dispatch.

Accuracy of loading quantities and export documentation.

Reduction of shipment damages or missing items.

Effective coordination with freight and customs partners.

Proper system updates and document archiving.

8. Work Location

Jebel Ali – Dubai, United Arab Emirates

Pay: From AED4,000.00 per month
