Logistics & Procurement Manager

Position Summary
The Logistics & Procurement Manager is responsible for overseeing all purchasing, supplier coordination, and logistics operations to ensure the timely and cost-effective movement of goods from manufacturers to Vanderlyn’s warehouse network.
This role manages vendor relationships, purchase order execution, international freight coordination, and customs documentation while maintaining visibility into production timelines and inbound inventory. The Logistics & Procurement Manager serves as the key operational bridge between suppliers, freight forwarders, warehouses, accounting, and the sales/order processing teams.
This is a highly detail-oriented role requiring strong organizational skills, international shipping knowledge, and the ability to proactively manage production timelines and supply chain risks in a fast-paced, growing environment.
Key Responsibilities
Procurement & Supplier Management
· Manage procurement of all products from domestic and international suppliers – cut Purchase Orders
· Create and maintain SKUs within ERP to support purchasing and inventory tracking
· Issue and manage Purchase Orders, ensuring accuracy in pricing, quantities, and delivery timelines
· Maintain strong supplier relationships and serve as the primary point of contact for production status updates. Hold suppliers accountable for production timelines, case packs, quality assurance, etc.
· Monitor manufacturing timelines and proactively address delays or production issues
· Identify and onboard new suppliers to support product development, cost improvement, and quality initiatives
· Negotiate pricing, minimum order quantities, and production terms when appropriate
Logistics & Freight Coordination
· Coordinate domestic and international shipments from suppliers to Vanderlyn warehouses
· Prepare shipping documents, such as commercial invoices, packing lists, and bills of lading, ensuring accuracy and compliance with international trade regulations.
· Obtain freight quotes from forwarders and carriers and secure the most competitive rates while maintaining reliable service
· Track all inbound shipments and maintain visibility on delivery timelines
· Work closely with freight forwarders to ensure efficient routing, documentation, and customs clearance
· Coordinate pickups and deliveries with warehouse partners and suppliers
· Resolve any shipping-related issues, such as delays, damages, or discrepancies, by coordinating with relevant parties
· Maintain shipment tracking records and communicate expected arrival dates to internal teams
Customs, Compliance & Documentation
· Ensure all international shipments are properly documented, including commercial invoices, packing lists, and Telex releases
· Verify correct use of Harmonized Tariff Schedule (HTS) codes for customs clearance and keep the ERP updated with these details in real time
· Provide internal guidance to the team regarding harmonized codes and import requirements
· Maintain compliance with import/export regulations and customs procedures
· Monitor duties, tariffs, and shipping costs to identify opportunities for savings
Order Visibility & Reporting
· Maintain accurate open purchase order tracking and provide weekly open orders reports to the team
· Monitor inbound inventory schedules to support sales and order fulfillment planning
· Identify potential stock risks or delays and proactively communicate with the operations and sales teams
· Maintain accurate records of supplier production timelines and shipment status
· Complete receivers of stock brought into warehouses via the ERP.
Cross-Functional Coordination
· Partner with Sales, Order Processing, and Project Management teams to ensure accurate purchasing aligned with client needs
· Coordinate closely with warehouse partners to ensure smooth receiving and inventory intake
· Work with Accounting to reconcile freight costs, supplier invoices, and landed costs
· Support internal teams with logistics-related questions or supply chain challenges
Process Improvement & Supply Chain Optimization
· Identify opportunities to streamline procurement and logistics workflows
· Improve purchasing documentation, reporting, and supplier communication processes
· Develop best practices for shipment tracking, vendor performance monitoring, and supply chain visibility
· Help build scalable systems as Vanderlyn grows its global supplier network and warehouse footprint
Qualifications & Skills
Education:
Experience:
· 3+ years of experience in procurement, logistics, supply chain, or purchasing
· Experience coordinating international shipments and working with freight forwarders
· Experience with QuickBooks or ERP systems for purchase order and inventory management
· Experience working with overseas manufacturers preferred
Skills:
· Strong understanding of international shipping, customs documentation, and import procedures
· Exceptional organizational skills and attention to detail
· Strong vendor management and negotiation capabilities
· Ability to manage multiple shipments, suppliers, and deadlines simultaneously
· Excellent communication skills across internal teams and external partners
· Proficiency in Microsoft Office and ERP systems

Compensation
This is a full-time, salaried, in-office position. The salary range for this role is $80,000-$90,000 annually, depending on experience and qualifications. Additional performance-based incentives may apply.
Pay: $80,000.00 - $90,000.00 per year
