Responsibilities

• Supervise the daily dispatching of long-haul freight shipments, ensuring adherence to schedules and delivery deadlines.
• Coordinate with drivers, carriers, and warehouse teams using transportation management systems (TMS) such as Oracle Transportation Management and SyteLine to plan routes efficiently.
• Utilize GPS and GIS technologies to monitor vehicle locations, optimize routing, and respond proactively to any delays or issues.
• Manage freight documentation, shipping & receiving records, and data entry tasks accurately within systems like AS400 and Transportation Management platforms.
• Oversee fleet management activities by scheduling maintenance, tracking vehicle statuses, and ensuring compliance with safety regulations.
• Communicate clearly with drivers and clients via multi-line phone systems, demonstrating excellent phone etiquette and professional communication skills.
• Analyze transportation data to identify opportunities for process improvements, cost savings, or service enhancements through analysis skills.
• Ensure compliance with all transportation regulations, safety standards, and company policies while managing 3PL (third-party logistics) providers when applicable.
• Lead problem-solving efforts related to shipment discrepancies, delays, or freight damages through effective analysis and decision-making.
• Maintain detailed records of dispatch activities, incident reports, shift logs, and performance metrics for continuous improvement.

Skills

• Minimum 5 years of experience in dispatch operations, with proven experience in long-haul dispatch management.
• Fluent in both Chinese and English (reading, writing, and speaking) — this is a must.
• Bachelor’s degree or higher, preferably in Logistics or a related discipline.
• Proficiency with GIS (Geographic Information Systems), GPS tracking tools, and transportation management systems such as Oracle Transportation Management or SyteLine.
• Strong understanding of supply chain logistics, transportation planning, freight management, and shipping & receiving processes.
• Excellent analysis skills for interpreting data related to fleet performance and route efficiency.
• Effective dispatching abilities combined with knowledge of fleet management practices.
• Exceptional communication skills with a focus on phone etiquette and clear written correspondence.
• Skilled in data entry using systems like AS400 or similar enterprise resource planning (ERP) platforms.
• Experience with multi-line phone systems for managing high-volume communications efficiently.
• Familiarity with 3PL operations, shipping & receiving procedures, and warehouse coordination.
• Knowledge of transportation regulations and safety standards to ensure compliance at all times.
• Ability to operate various software tools including Oracle Transportation Management and SyteLine for scheduling and reporting purposes.
