Long-term Substitute Superintendent's Secretary/District Board Clerk

Job Overview
We are seeking a dedicated and highly organized Long-term Substitute Superintendent's Secretary/District Board Clerk to serve as a vital administrative support for our school district’s leadership team. This role involves managing complex schedules, handling sensitive correspondence, and ensuring smooth communication between the superintendent, district staff, board members, and the community. The ideal candidate will be proactive, detail-oriented, and possess excellent office management skills to maintain efficient operations throughout the district. This position offers an exciting opportunity to contribute to the educational community by providing essential clerical and administrative support in a dynamic environment.

Responsibilities

  • Serve as the primary point of contact at the front desk, greeting visitors and directing inquiries with professionalism and courtesy
  • Manage multi-line phone systems, screen calls, take messages, and route calls appropriately using proper phone etiquette
  • Maintain accurate calendar management for the superintendent and district officials, scheduling meetings, appointments, and district events
  • Prepare, proofread, and distribute official correspondence, reports, agendas, minutes, and other documents ensuring accuracy and clarity
  • Handle data entry tasks using Microsoft Office Suite and Google Workspace applications to update records, compile reports, and organize files
  • Oversee filing systems—both electronic and paper—to ensure easy retrieval of documents while maintaining confidentiality of sensitive information
  • Assist with bookkeeping duties such as tracking expenses or budget-related documentation using QuickBooks or similar financial software
  • Support office management tasks including supply inventory control, mail distribution, and maintaining office equipment functionality
  • Provide customer support to staff, board members, parents, and community members by addressing inquiries promptly and professionally
  • Coordinate with other departments for event planning or district initiatives while managing deadlines effectively

Experience

  • Prior office experience in an educational or governmental setting is highly preferred
  • Demonstrated clerical experience including data entry, filing, proofreading, and document preparation
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive), and basic computer literacy skills
  • Experience managing multi-line phone systems and front desk operations with excellent phone etiquette
  • Bilingual skills are desirable to effectively communicate with diverse community members
  • Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
  • Personal assistant or medical/dental receptionist experience is a plus but not required
  • Familiarity with office management tools such as calendar management software or bookkeeping programs like QuickBooks is advantageous

Pay: $55,000.00 - $65,000.00 per year
