A boutique luxury real estate firm located in the Design District is seeking a polished, service-driven professional to serve as the first point of contact for clients and guests. This individual will support daily sales operations, maintain an elevated presentation of the sales environment, and provide administrative assistance to agents and leadership. The ideal candidate is bilingual (English/Spanish), highly organized, and thrives in a fast-paced, luxury sales setting.
Key Responsibilities
Daily Responsibilities
- Welcome clients and guests with warmth, professionalism, and confidence
- Answer and direct incoming calls with exceptional phone etiquette
- Maintain an immaculate and thoughtfully curated reception area
- Coordinate appointments and provide administrative support to agents and leadership
- Assist with daily office operations and special requests as needed
- Maintain rotation (“up”) system for sales associates
- Maintain Daily Traffic Log
- Maintain customer registration forms
- Ensure ample stock of collateral sales materials for associates
- Enter customer traffic into ISG-approved database Spark CRM
- Maintain the sales floor in a neat and orderly condition
- Open and close all sales models
- Direct appropriate sales associate to each customer
Weekly Responsibilities
- Prepare and distribute Weekly Traffic Summary report to Sales Director and ISG Management via fax and/or email, as designated
- Prepare and distribute Weekly Broker Report to ISG Management via email
- Prepare and distribute Weekly Prospect Report to ISG Management via email
- Inventory sales materials
- Inventory office supplies
- Inventory sales kitchen supplies
Periodic Responsibilities
- Type general correspondence as needed
- Perform miscellaneous duties as assigned
Qualifications
- Bilingual in English and Spanish (English is the primary working language)
- Experience in luxury real estate, boutique hospitality, or high-end professional services preferred
- Impeccable presentation and professional demeanor
- Strong communication skills, organization, and attention to detail
- Reliable, discreet, and service-oriented
- Proficiency in Microsoft Word and Excel
- Ability to perform general clerical duties (faxing, copying, sorting, distributing documents)
- Strong and accurate data entry skills
- Ability to follow instructions precisely with exceptional attention to detail
- Ability to interact effectively with diverse personalities in a fast-paced, sales-oriented environment
Pay: $20.00 - $24.00 per hour
