Maintenance Planner

The Maintenance Planner is responsible for the strategic planning and scheduling of preventive and corrective maintenance activities to ensure optimal equipment reliability and operational efficiency. This role manages maintenance inventory through regular cycle counts, oversees procurement of parts and supplies, and coordinates with vendors and contractors. The Maintenance Planner plays a critical role in supporting food safety compliance and maintaining documentation aligned with regulatory and company standards.

Key Responsibilities
Maintenance Planning & Scheduling
  • Assign and maintain Equipment Identification Numbers (EIN) for active, inactive, and newly acquired equipment.
  • Occasionally assist other locations with ordering parts (temporarily as needed)
  • Develop and manage preventive maintenance schedules for all machinery and facility systems.
  • Collaborate with maintenance technicians and production teams to coordinate maintenance activities and minimize operational downtime.
  • Schedule and oversee contractor work, ensuring adherence to company standards and safety protocols.
  • Document contractor activities and identify potential preventive maintenance strategies based on completed work.
  • Utilize the Computerized Maintenance Management System (CMMS) to track and record all maintenance activities.
Inventory Management
  • Conduct routine cycle counts to ensure accuracy of maintenance inventory.
  • Establish and maintain a list of critical spare parts for essential equipment.
  • Monitor inventory levels and proactively reorder parts to prevent shortages and delays.
  • Maintain organized, accurate, and up-to-date inventory records.
Procurement & Vendor Coordination
  • Source and procure maintenance parts, tools, and supplies from approved vendors.
  • Evaluate and approve new vendors based on operational needs and compliance standards.
  • Build and maintain strong relationships with suppliers to ensure timely delivery and cost-effective purchasing.
  • Review and reconcile purchase orders, invoices, and delivery documentation for accuracy and completeness.
Compliance & Documentation
  • Ensure all maintenance activities comply with food safety regulations, Good Manufacturing Practices (GMPs), OSHA standards, and internal company policies.
  • Maintain comprehensive records of maintenance work, inventory transactions, and vendor communications.
Support internal and external audits by providing required documentation and reports.

Qualifications
  • High school diploma or GED required; associate degree or technical certification preferred.
  • Minimum of 2 years of experience in maintenance planning, preferably within a food manufacturing or warehouse environment.
  • Proficiency in CMMS software and Microsoft Office Suite (Excel, Word, Outlook).
  • Strong organizational, analytical, and communication skills.
  • Basic knowledge of mechanical and electrical systems is advantageous.

Working Conditions
  • Primarily based in a warehouse and production floor environment.
  • May involve occasional lifting of parts, tools, and equipment.
