The Maintenance Supervisor is responsible for maintaining the physical integrity of the community at all times by keeping the community in a good state of repair and appearance at the most effective cost, ensuring a safe and secure environment for residents, visitors, and employees, and cultivating resident satisfaction.
Essential Functions and Responsibilities
The Maintenance Supervisor conducts all work in accordance with Sheehan Property Management policies and procedures, Fair Housing Laws, Industry and U.S. Department of Housing and Urban Development (HUD) Housing Quality Standards (HQS), Environmental Protection Agency (EPA) requirements, Occupational Safety and Health Act (OSHA) requirements, Americans with Disabilities Act and Its Amendments Act (ADAAA) regulations, and all other Federal and State laws. Essential Duties and Responsibilities include all the responsibilities of the Maintenance Technician I, Maintenance Technician II, Maintenance Technician III, and Assistant Maintenance supervisor, as well as the following advanced responsibilities.
Resident Service
1. Performs maintenance tasks personally and/or delegates to Maintenance Technicians via the Facilities Plus Application. Oversees and occasionally inspects work performed by the Assistant Maintenance Supervisor, Maintenance Technicians, and groundskeepers.
2. Manages the OneSite and Facilities Plus system for handling resident service requests. Corrects situations within 24-hours in accordance with Sheehan’s 24-hour service guarantee.
3. Schedules maintenance employees in coordination with the Property Manager so that maintenance is available for emergency purposes, 24 hours a day, seven days a week.
Safety
1. Ensures all fire and safety systems are in excellent working condition and maintains required service schedule.
2. Conducts regularly scheduled safety meetings with all maintenance employees.
3. Maintains and communicates Occupational Safety and Health Act (OSHA) Hazard Communication Plan Standards.
4. Keeps Safety Data Sheets (SDS’s) current and readily accessible.
5. Maintains awareness of the condition of physical property and immediately corrects unsafe conditions, including but not limited to broken gates leading to the pool, broken steps, open holds, mold, and broken or burned out exterior lights.
6. Instructs on proper use and guidelines for personal protective equipment (PPE) and other safety clothing and equipment.
7. Trains employees on safety and instills a “safety first” attitude with all property employees.
Preventative Maintenance
1. Inspects, diagnoses and performs minor or routine maintenance or repairs on an “as-needed” basis,
including but not limited to:
a. Electrical and security repairs, including, but not limited to: troubleshooting and diagnosing electrical issues, changing out breakers, wiring new circuits, and inspecting and testing the fire alarm system.
b. Interior and exterior lighting, including but not limited to replacing outside bulbs and fixtures, three-way switches, and dusk to dawn lighting with timers
c. Plumbing repairs, including, but not limited to: welding in new water heaters, installing new dishwashers, and repairing or installing new water supply lines and drain lines.
d. Appliances, e.g. stove/oven, refrigerators, dishwashers, microwaves, disposals, ice makers, etc.
e. Diagnosing and repairing ai conditioning units, ventilation, and heating systems (HVAC). Adding refrigerant or repairing leaks, as needed.
f. Shutters, doors, cabinets, windows, and sliding glass doors
g. Door locks, mail boxes, and locks on the mailboxes
h. Stairs, gates, fences, patios, and railings
i. Walls, painting, and drywalling
j. Replacing broken tiles and plank flooring
k. Ceiling leaks
l. Fireplaces and ceiling fans
m. Pool areas, tile, hot tub/spa, and pool furniture
n. Security and fire systems, where applicable
o. Water irrigation systems, where applicable
2. Completes carpentry, repairing exterior and interior issues, as needed, including, but not limited to closet doors, windows, and cabinets.
3. Paints and reconditions, including, but not limited to disassembling and inspecting equipment, cleaning and repairing parts, and replacing worn or damaged parts, as needed.
4. Performs regularly scheduled preventative maintenance, and completes complex diagnostic tests, calibrating and adjusting equipment, as needed.
5. Trains Maintenance Technicians on preventative maintenance procedures.
6. Establishes and implements a systematic preventative maintenance program.
7. Maintains records of each apartment with respect to its current condition, renovation costs, and repairs made on a routine basis.
8. Identifies and prepares map for all utility meter shut-offs, apartment and fixture shut-offs, and sewer clean-outs.
Move-Outs and Make-Readies
1. Performs move-out inspections on the OneSite Facilities App to determine charge-back damages and the extent of the work needed to recondition the apartment unit.
2. Schedules services and tasks to vendors and employees at least 30 days prior to the move-out date.
3. Ensures apartment make-readies are completed efficiently within three to five working days to maximize occupancy and income while minimizing rental loss.
4. Keeps the Make Ready Board on the OneSite Facilities App updated at all times.
5. Reports all major repairs and requisitions to the Property Manager prior to any expenditure of funds.
6. Changes locks on all apartment make-readies upon move-out and makes keys upon move-in.
7. Removes and transfers heavy appliances and equipment from the storage area to apartments, or vice versa, as circumstances warrant.
8. Assists in moving abandoned furniture, appliances, etc., to the dumpster, when necessary.
9. Maintains adequate inventory of spare parts and maintenance materials to handle most common repairs and situations.
Emergency Situations
1. Responds to emergency situations, e.g. fire, flood, health-related problems, security, etc., quickly and professionally. Contacts the Property Manager, and/or appropriate authorities, as the situation dictates.
Grounds
1. Keeps property grounds neat and litter-free.
2. Rakes, sweeps, and shovels, as circumstances warrant and to promote positive curb appeal.
3. Clears snow and ice from the property in accordance with the company policy.
4. Conducts routine inspections of buildings and systems to identify potential problems.
5. Makes repairs, as needed, before problems cause major damage or disruptions.
6. Prepares soil and plant grass see.
7. Puts down weed killer/fertilizer.
8. Completes minor repairs nd adjustments to the irrigation systems.
9. Completes minor roof, gutter, and downspout repairs.
General Duties
1. Ensures that storage areas remain locked when not in use.
2. Cooperates and assists with various property inspections, as required.
3. Performs work area clean-up and safety-related duties.
4. Performs any additional duties assigned by the Property Manager, the Maintenance Operations Coordinator, or the Regional Property Manager.
5. Keeps a daily payroll timesheet and gets approval from the Property Manager prior to working overtime hours.
Maintenance Department Operations
1. Schedules and maintains thorough and accurate records, including but not limited to preventative maintenance, service requests (received and completed), expenditures, apartment make-ready status, and work in progress.
2. Schedules and performs minor and routine maintenance on all appropriate equipment on a regular basis.
3. Orders and maintains an inventory of maintenance supplies.
4. Uses the make-ready board.
5. Schedules contractors.
6. Coordinates activities between contractors and employees.
7. Develops the on call schedule and participates in the 24-hour on call responsibilities on a rotating basis and for emergencies.
8. Inspects and maintains all tools in excellent working condition.
9. Trains and assists in development of all maintenance employees.
10. Services Sheehan-owned vehicles as required by the manufacturer’s service data and maintains maintenance logs.
Administrative Duties
1. Develops and implements daily work schedules for all maintenance employees and ensures each employee is on time every day and clocks in and out of the ADP timekeeping system.
2. Seeks approval from the Property Manager prior to authorizing overtime for maintenance employees.
3. Monitors and approves all property maintenance invoices in coordination with the Property Manager.
4. Maintains petty cash and submits receipts for reimbursement to the Property Manager, as needed.
5. Provides input for the preparation of the property’s annual operating budget to the Property Manager and reviews and discusses the maintenance budget with the Property Manager.
Supervisory Responsibilities
The Maintenance Supervisor provides leadership and oversight to employees, and directly supervises the Maintenance Technician 1, Maintenance Technician 2, Maintenance Technician 3, and the Groundskeeper. Employee carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include recruiting, interviewing, hiring, and training/cross-training employees; planning, assigning, and directing work; scheduling work time; evaluating performance, including completing reviews for direct reports and working with the Property Manager to analyze reviews; coaching and mentoring employees, rewarding and disciplining employees; addressing complaints, and resolving problems.
