Manager – Admin (Construction/ Real Estate/Infrastructure)

Location: Adalaj Char Rasta, Ahmedabad

We are seeking an experienced and highly organized Operations Manager – Admin to oversee administrative and operational functions for our construction projects. The role is responsible for ensuring smooth site operations, documentation control, contractor coordination, and compliance management.

Key Responsibilities

Construction Operations & Administration

  • Oversee daily administrative operations at construction sites
  • Coordinate with contractors, subcontractors, consultants, and suppliers
  • Monitor project progress and ensure timely reporting to management
  • Maintain and control project documentation (contracts, permits, drawings, approvals)
  • Supervise material tracking and site inventory records
  • Schedule inspections, consultant visits, and coordination meetings

Reporting & Financial Coordination

  • Prepare and review daily, weekly, and monthly project reports
  • Track invoices, purchase orders, and payment documentation
  • Monitor operational expenses and support budget control
  • Maintain updated project logs and correspondence records

Vendor & Contractor Management

  • Manage vendor prequalification and documentation
  • Review quotations and support procurement processes
  • Monitor contractor performance and compliance with timelines
  • Ensure proper documentation for work completion and handover

Compliance & Safety Oversight

  • Ensure adherence to local authority regulations and project requirements
  • Oversee safety documentation, permits, and inspection records
  • Support implementation of HSE policies and reporting procedures

Project Handover & Closeout

  • Coordinate inspections and authority approvals
  • Support project handover to client/owner
  • Oversee defect liability documentation and corrective actions

Requirements

  • Bachelor’s Degree in Business Administration, Construction Management, or related field
  • 5–10 years of experience in construction administration/operations
  • Strong knowledge of construction documentation and processes
  • Experience in managing site administration teams
  • Proficiency in MS Office and reporting tools
  • Strong leadership, coordination, and problem-solving skills
  • Ability to work under pressure and manage multiple priorities
