Position Summary
The Manager - Clinical Operations & Community Outreach role is a hybrid leadership and support role responsible for advancing VUIM’s clinic operations, community partnerships, student advising, and teaching and learning functions. This position serves as a key operational liaison between the GA campus clinic and VUIM’s headquarters/flagship campus in Tysons, Virginia, while also supporting student retention, academic progression, clinical partnerships, and online learning systems. The ideal candidate is organized, proactive, student-centered, technically confident, and able to work effectively across clinical, academic, administrative, and community-facing functions.
Key Responsibilities
Serve as the clinical operations and practice manager for the on-campus clinic, ensuring effective day-to-day clinic operations and alignment with VUIM policies, procedures, and institutional standards. Act as the clinical operations liaison with the headquarters/flagship campus in Tysons, Virginia. Hire, onboard, train, schedule, and supervise clinic staff employed in VUIM clinics. Organize and lead quarterly clinical business meetings to address clinic operations, policy updates, staffing matters, promotional initiatives, patient service expectations, and operational improvements. Oversee clinic incident tracking, documentation, and follow-up, including reporting to the Clinic Committee or Safety Board and implementing responsive action plans as needed. Develop and conduct training programs for practitioners and clinic staff related to clinic business development, marketing, patient recruitment, community seminars, on-campus public education programs, and clinic growth initiatives.
Establish, maintain, and grow strategic relationships with healthcare systems, hospitals, nonprofit organizations, wellness providers, integrative health professionals, and conventional medical providers. Build partnerships that support clinical internship placements, patient referrals to VUIM Clinic, student recruitment pipelines, community engagement, and institutional visibility. Represent VUIM in community outreach efforts, wellness fairs, healthcare forums, professional networking events, and partnership meetings. Support clinic marketing and public relations efforts in collaboration with the CEO, Dean of Strategic Initiatives, and other institutional leaders. Develop and administer future externship clinic sites by initiating partnerships, conducting site inspections to ensure compliance with state and ACAHM standards at least once per term, coordinating site schedules, and resolving operational concerns. Lead or support the launch of new clinical operations at emerging campus locations or off-site academic teaching clinics.
Support student retention and academic progression by advising assigned students on registration, program requirements, academic planning, institutional policies, and progression toward program completion. Maintain accurate records of student communication and advising files. Proactively identify and support students at risk of failing courses or experiencing Academic Probation, Satisfactory Academic Progress concerns, warning status, jeopardy, leave of absence, suspension, or other academic difficulties. Work with faculty and staff to identify students needing academic support and refer them to appropriate resources, including faculty, peer services, staff support, and other student services. Oversee student contracts, action plans, and progress monitoring. Assist with student conduct matters, grievances, and Title IX-related concerns in coordination with the appropriate institutional officials. Track change-of-status notices and report relevant updates to the Dean of Enrollment Management. Identify trends in student behavior, academic progression, and retention, and recommend process improvements from both the student experience and operational efficiency perspectives. Collaborate with Admissions, Financial Aid, Finance, Registrar, academic departments, and IT on student matters and policy administration. Support new student orientation, student handbook maintenance, quarterly course evaluations, exit surveys, and academic data collection and reporting.
Assist VUIM’s teaching and learning support functions, with emphasis on instructional quality, faculty support, online learning, and academic systems. Support faculty with course setup, instructional material preparation, teaching resources, and troubleshooting, particularly within Populi LMS. Help manage online course components, maintain course materials, track academic data, troubleshoot technical issues, and support school-wide course setup and compliance. Maintain syllabi, teaching resources, internal dashboards, school-level assignments, and academic documentation using Google Workspace, Microsoft Office, and institutional systems. Support course audits, evaluation surveys, onboarding tasks, professional development initiatives, and basic management of non-credit or asynchronous online courses, including course maintenance and grade entry. Provide pedagogical support to online and mixed-mode faculty, including coaching, mentoring, and encouraging best practices in online teaching and learning. Stay current with instructional design, pedagogy, learning technology, and continuing education program design.
Qualifications & Skills
Background in education, educational technology, IT, higher education administration, advising, healthcare, or clinical operations preferred. One or more years of experience in academic support, advising, customer service, clinical operations, or higher education administration preferred. Experience with LMS platforms, Populi, CRM systems, databases, Google Workspace, and Microsoft Office strongly preferred.
