Manager of Executive Affairs

The Manager of Executive Affairs serves as the primary administrative support and strategic partner to the Head of School. This position ensures the efficient operation of the Head of School’s office, and facilitates communication and coordination across internal and external stakeholders. The role requires exceptional organizational, communication, and problem-solving skills, along with the ability to manage confidential and time-sensitive information.

Responsibilities and Duties

  • Manage the Head of School’s calendar, including scheduling appointments, meetings, and travel arrangements, while anticipating and addressing conflicts.
  • Compile information for reports, documents, and proposals.
  • Prepare and review materials for meetings, presentations, and events, ensuring accuracy and alignment with organizational goals.
  • Attend meetings with or on behalf of the Head of School, taking notes, tracking action items, and following up as necessary.
  • Act as a liaison between the Head of School and faculty, staff, parents, board members, and other stakeholders to facilitate smooth communication and project execution.
  • Coordinate the Head of School’s participation in fundraising, events, and other key initiatives to maximize engagement and impact.
  • Handle confidential information with discretion and professionalism.
  • Plan and execute executive-level events, and meetings ensuring all logistical and programmatic aspects are handled effectively.
  • Answer phones and emails.
  • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner.
  • Oversee the certification and/or degree requirements for all staff.
  • Will require night hours to attend board meetings to take minutes and other various events.
  • Performs other duties as may be deemed necessary for the efficient operation of the department.
  • It is essential for the Employee to arrive on time to work every scheduled work day. It is essential for the Employee to maintain good attendance and give ample notice, when possible, when the Employee will be absent. It is essential for employees to speak to co-workers with respect and to follow all of the requirements and expectations in the Employee Handbook.

Qualifications

The Manager of Executive Affairs must have a Bachelor’s degree. Should have a minimum of five years of executive support, project management, or a related role, preferably in an educational or nonprofit setting. Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities in a fast-paced environment. Strong written and verbal communication skills, including the ability to draft and edit professional correspondence and reports. Proven ability to manage confidential information with integrity and discretion. Proficiency in Microsoft Office Suite, Google Workspace, and other relevant technology platforms. Excellent interpersonal skills, with the ability to build trust and credibility with diverse stakeholders. High level of professionalism, emotional intelligence, and diplomacy. Strong problem-solving skills and a proactive, resourceful approach to challenges.
