Position Overview: The Manager of High School Operations is a key member of the school leadership team responsible for ensuring the campus operates efficiently, safely, and with strong operational systems that support teaching and learning. The Manager of High School Operations directly supervises:
- Office Managers (2)
- Climate & Culture Specialists (2)
- School Counselors (for scheduling coordination)
The role also collaborates with district teams responsible for:
- Custodial services
- Security personnel
- Facilities and maintenance
- Technology support
- Food Services
As a member of the school administrative leadership team, the Manager of High School Operations helps navigate operational challenges, respond to urgent situations, and ensure the campus maintains a safe and stable environment for students and staff.
Core Responsibilities:
Operations Leadership and Team Management
- Hire, supervise, coach, and evaluate members of the operations team
- Establish clear operational procedures and expectations for campus operations
- Develop systems and trackers that ensure operational tasks and deadlines are completed consistently
- Monitor staff performance and provide coaching and feedback
- Create documentation and operational guides that support consistent execution of systems
- Lead regular operations team meetings focused on accountability and execution
Master Schedule Development and Student Scheduling
- Coordinate the annual course request process
- Analyze course demand with school counselors and leadership
- Develop course sections and align staffing with student demand
- Build and maintain the school master schedule
- Generate student schedules and manage schedule adjustments throughout the year
- Ensure student schedules align with graduation requirements, AP courses, electives, and specialized programs
- Maintain accurate scheduling data within the Student Information System
During Year 1, the Manager will work closely with the Vice Principal to learn and co-execute the master scheduling process. By Year 2, the MHO will independently lead the full master schedule development process from course requests through final student schedules.
Testing Operations Transition
- Year 1: Observe and support the District and School Testing Coordinators; assist with logistics, schedules, room assignments, materials, and staff training
- Year 2: Independently manage all operational logistics for standardized assessments, testing schedules, and compliance
Schoolwide Duty Coverage and Supervision Systems
- Create and maintain daily duty assignments for all staff, including teachers, support staff, and operational personnel
- Develop supervision schedules for arrival, dismissal, hallways, lunch periods, and common spaces
- Monitor participation and ensure staff fulfill supervision responsibilities
- Adjust coverage assignments as needed to maintain safe supervision levels
- Maintain clear documentation and accountability systems for duty coverage
Student Information System (SIS) Management
- Manage the school’s Student Information System and ensure accurate data management
- Ensure accuracy of student records including attendance, grades, class schedules, and demographic information
- Maintain accurate enrollment records and documentation
- Train staff on SIS data entry and operational procedures
- Conduct regular data audits to ensure system accuracy and compliance
School Calendar and Event Coordination
- Manage the school master calendar
- Coordinate logistics for major school events including assemblies, convocations, and spirit days
- Ensure alignment of testing windows, school events, and operational deadlines
- Maintain clear communication of key dates to staff and families
Enrollment, Recruitment, and Registration
- Manage the enrollment pipeline from family inquiry to registered student
- Monitor conversion rates from leads to applications and enrollment
- Coordinate outreach to feeder schools
- Present to prospective students and families at recruitment events
- Support school tours and enrollment events
- Ensure all student registration documentation is complete and accurate
- Monitor enrollment data to ensure the school meets enrollment targets
Office Operations and Student Records
- Supervise front office operations to ensure a welcoming experience for families
- Oversee student records management and compliance documentation
- Ensure operational documentation is accurate and professionally maintained
- Coordinate student registration processes and required reporting
Attendance Monitoring
- Monitor attendance trends and data
- Partner with student support team to address chronic absenteeism
- Ensure accurate attendance reporting & documentation, inclusive of intervention tracking
