Job Summary
We are seeking a highly organized and dynamic Manager of Intake to oversee the patient intake process within our specialty pharmacy. The ideal candidate will possess extensive experience in healthcare settings such as pharmacy, hospitals, or home health, with a strong understanding of medical terminology, medical insurance, Pharmacy Benefit Managers (PBMs), Advanced Beneficary Notices (ABNs), and care coordination.

As the Manager of Intake, you will lead a team responsible for the benefit investigation and financial review performed to conduct Insurance Findings Discussions in which the patient is notified of their financial responsibilities.

The ideal candidate will work closely with the Pharmacy Department, Financial Services Department, Department, Business Development Department, and third-party revenue cycle management partner to support timely therapy initiation or continuation while maintaining compliance with applicable healthcare regulations and company policies.

Duties

  • Supervise and coordinate the intake team to ensure timely and accurate collection of patient information during initial contact and ongoing needs.
  • Oversee the review of medical records and documentation to facilitate seamless start of care and continued care.
  • Collaborate with other departments to ensure coordination of new referrals, new insurance, and change of therapy activities to limit service interruptions.
  • Ensure compliance with HIPAA regulations while managing sensitive patient data securely.
  • Ensure Coordinate and discuss Advance Beneficiary Notices (ABNs) with Medicare beneficiaries when coverage for services may be uncertain or when required under Medicare guidelines.
  • Conduct regular training sessions on procedures for staff development.
  • Implement quality assurance measures by reviewing documentation accuracy and supporting continuous improvement initiatives in patient assessment processes.

Qualifications

  • Proven experience in hospital environments such as Level I or Level II trauma centers, emergency medicine units, or ICU settings.
  • Strong background in nursing, social work, or related healthcare disciplines with familiarity in discharge planning and case management.
  • Knowledge of medical terminology, anatomy, physiology, and behavioral health concepts essential for comprehensive patient assessment.
  • Demonstrated leadership skills with supervising experience in healthcare teams or administrative roles within hospital or hospice settings.
  • Familiarity with HIPAA compliance standards and data security protocols related to medical records management.
  • Ensure proper utilization, discussion and receipt of Advance Beneficiary Notices (ABNs) with Medicare beneficiaries when coverage for services may be uncertain or when required under Medicare guidelines.
  • Experience working with Medicare, Managed Care organizations, and knowledge of medical and PBM standards is highly desirable.

Pay: $52,019.26 - $62,646.85 per year
