Manager – Special Projects & Coordinator

Almoayed is seeking an energetic, commercially savvy Manager – Special Projects & Coordinate to support the Executive Committee in driving key decisions, managing high-impact initiatives, and ensuring seamless execution across the business. The ideal candidate is highly organized, proactive, and capable of working closely with senior leadership to ensure commitments are delivered on time.

Key Responsibilities:

Executive Coordination

  • Prepare Committee and Board agendas, circulate materials, and manage meeting logistics.
  • Take structured and accurate minutes , ensuring clear documentation of decisions, responsibilities, and deadlines.
  • Maintain action trackers and proactively follow up with internal teams to ensure execution.

Project Planning & Delivery

  • Coordinate cross-departmental commercial initiatives and monitor execution timelines.
  • Work with business units to gather information, prepare business cases, and present updates.
  • Drive improvements around workflow, reporting, and governance efficiency.

Documentation & Governance Support

  • Manage corporate documentation and decision records in an organized and compliant way.
  • Support drafting of commercial briefs, reports, and structured presentations.
  • Liaise with external legal firms only when required for specific matters or filings.

Stakeholder Communication

  • Serve as an effective liaison between various stakeholders and business units, ensuring messaging is consistent, timely, and professional.
  • Draft concise internal and external communications, summaries, and follow-ups.
  • Uphold confidentiality and represent senior leadership with high professionalism.


Qualifications

  • Bachelor’s degree in Business, Management, Public Administration, or related field.
  • (Legal familiarization is a plus, but not essential)
  • 3–6 years’ experience in project management, executive coordination, commercial operations, or similar roles.
  • Exceptional communication skills in English (Arabic advantageous).
  • Strong follow-up discipline and ability to drive outcomes , not just track them.
  • Comfortable working under pressure and managing multiple priorities.
  • High proficiency in the Microsoft Office Suite (Excel, PowerPoint, Word).
