Duties
- Greet visitors, clients, crew members, and vendors with enthusiasm and professionalism, ensuring a positive first impression.
- Manage multi-line phone systems to handle inquiries efficiently, directing calls to appropriate departments or personnel.
- Maintain accurate records through data entry, filing, and updating logs using Microsoft Office and Google Workspace tools.
- Assist with office management tasks such as calendar scheduling, appointment setting, and coordinating meetings.
- Support administrative functions including proofreading documents, managing correspondence, and handling clerical duties like filing and photocopying.
- Utilize computer literacy skills to operate office equipment like QuickBooks for bookkeeping or other specialized software as needed.
- Provide excellent customer service by addressing questions promptly, supporting visitors’ needs, and maintaining a courteous phone etiquette.
Skills
- Proven experience in front desk operations or office management roles with strong organizational skills.
- Excellent computer skills including proficiency in Microsoft Office (Word, Excel),
- Strong clerical experience with attention to detail in proofreading, filing, and record keeping.
- Exceptional customer service skills combined with professional phone etiquette and the ability to handle multi-line phone systems efficiently.
- Ability to manage time effectively in a fast-paced environment while maintaining accuracy in administrative duties.
