Position Summary

The Marketing Administrator provides essential administrative and coordination support to Virtus Renewables’ marketing and business development efforts. This role focuses on organizing marketing activities, maintaining content and data systems, supporting campaigns and proposals, and ensuring brand consistency across internal and external materials.

This position is ideal for a detail-oriented, organized professional who enjoys supporting creative and strategic work through strong execution, documentation, and process management. The Marketing Administrator works closely with Marketing, Business Development, and Leadership to help elevate the Virtus Renewables brand and support growth initiatives.

Key Responsibilities

Marketing & Brand Support

  • Provide administrative support for marketing initiatives, campaigns, and schedules.
  • Assist with the coordination and production of marketing materials, including brochures, presentations, case studies, and digital content.
  • Ensure brand standards are followed across all marketing and sales materials.
  • Maintain marketing calendars, content schedules, and campaign trackers.

Content & Asset Management

  • Organize and maintain marketing assets, including photos, videos, logos, templates, and graphics.
  • Manage shared drives and document libraries to ensure materials are current, accurate, and accessible.
  • Assist with updating website content, social media posts, and email marketing platforms as directed.

CRM & Data Management

  • Support CRM data hygiene by entering and updating contacts, accounts, and marketing activity records.
  • Assist with list management, segmentation, and tracking of marketing outreach and campaigns.
  • Generate basic reports on campaign performance, engagement metrics, and lead activity.

Proposal & Business Development Support

  • Assist with marketing sections of proposals, RFQs, and RFPs, including formatting, proofreading, and document assembly.
  • Maintain proposal templates, resumes, project descriptions, and qualification materials.
  • Coordinate internal reviews and version control for marketing and proposal documents.

Administrative & Coordination Support

  • Track invoices, budgets, and expenses related to marketing activities and vendors.
  • Coordinate with external vendors, designers, printers, and consultants as needed.
  • Support event planning, trade shows, conferences, and customer meetings (logistics, materials, follow-up).

Qualifications & Requirements

  • 2–4 years of experience in marketing administration, administrative support, communications, or a related role.
  • Strong organizational skills with excellent attention to detail.
  • Ability to manage multiple tasks, deadlines, and priorities in a fast-paced environment.
  • Strong written communication and proofreading skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Familiarity with CRM systems (e.g., Pipedrive, Salesforce, HubSpot) and marketing tools is a plus.
  • Experience in renewable energy, construction, engineering, or technical services is a plus but not required.

Education

  • Associate’s or Bachelor’s degree in Marketing, Communications, Business Administration, or a related field preferred.
