Role Summary
The Marketing Associate will play a critical execution and operational leadership role within HCP and Product Marketing. This individual will own the planning, execution, and reporting of product marketing initiatives, national and regional conferences, CME/CEU programs, and local awareness events.
This role goes beyond coordination - it requires ownership of processes, budgets, logistics, vendor management, and compliance documentation to ensure Koya delivers a professional, measurable, and inspection-ready presence across all touchpoints.
The ideal candidate has experience in medical device or healthcare marketing, understands the regulatory landscape governing promotional and educational activities, and thrives in a fast-paced, scaling organization.
Key Responsibilities
HCP & Product Marketing Ownership
- Execution of HCP and patient focused marketing initiatives, including promotional campaigns, educational programs, and product marketing activities aligned with company goals and brand positioning
- Development, review, and maintenance of promotional materials (print, digital, and sales tools) in collaboration with internal stakeholders and external agencies
- Lead product marketing deliverables such as presentations, brochures, white papers, and training materials
- Support product launches, collateral updates, and field communications
- Create sales tools tailored to key customer groups, including clinical data summaries, reimbursement guides, and competitive comparisons
- Utilize market research platforms to uncover key insights, track target engagement and optimize outreach
- Monitor trends including guideline updates, reimbursement changes, and emerging technologies
- Translate insights into actionable marketing plans and product enhancements
Conferences, CME & CEU Programs
- Manage national, regional, and local conferences, and workshops (booth logistics, shipping, collateral, schedules, and on-site support as needed)
- Manage planning, coordinating, and executing CME and CEU programs, including speaker logistics, materials, compliance documentation, and post-event follow-up
- Manage “Event in a Box” solutions to streamline local event execution, including content, signage, invitations and invoices
- Ensure compliance standards are met for all events and communicate requirements to stakeholders and local teams as needed
- Establish clear communication channels to ensure timely information sharing with internal stakeholders and event participants
- Manage promotional swag and branded materials inventory, ordering, and distribution
Campaign Execution
- Support execution of marketing campaigns, including email and social or paid campaigns as applicable
- Track and report campaign timelines, deliverables, and key performance metrics
- Assist with HCP and product content coordination across digital channels to ensure consistency and accuracy
Operational & Budget Support
- Track marketing budgets, invoices, and purchase orders; support monthly and quarterly budget reconciliation
- Manage timelines, calendars, and project trackers for marketing initiatives
- Coordinate with vendors, agencies, printers, and event partners
- Maintain organized repositories of marketing assets and documentation
- Design, implement, and continuously improve marketing processes, workflows, and governance models to increase efficiency, scalability, and accountability
- Create and maintain documentation, playbooks, and training materials to support onboarding and ongoing education for marketing team members
Qualifications
Required
- Bachelor’s degree in Marketing, Communications, Business, Life Sciences, or related field
- 2–5+ years of experience in product marketing, event management, or conference coordination within medical device or healthcare industry
- Strong understanding of healthcare compliance and regulatory considerations
- Proven track record supporting successful regional or national event execution
- Exceptional organizational, prioritization, and budgeting skills
- Ability to manage multiple projects and pivot in a fast-paced, evolving environment
- Proficiency in Microsoft Office (PowerPoint, Excel, Word)
- Willingness to travel up to 25%
Preferred
- Experience supporting medical device products and product launches
- Exposure to CME/CEU accredited programming
- Experience working with CRM or marketing automation platforms
- Startup or high-growth company experience
- Experience building standardized event processes or scalable systems
