Overview

Core Duties & Responsibilities
Proposal & Qualification Development
- Coordinate and manage the end-to-end production of RFP and RFQ responses, including organizing pursuit kick-off meetings, developing response outlines, establishing submission schedules, and tracking deadlines.
- Write, edit, and proofread proposal narratives including cover letters, executive summaries, project approaches, scope of services, and responses to evaluation criteria.
- Compile and tailor project experience descriptions, staff resumes, and firm qualifications to align with specific client requirements and evaluation criteria.
- Ensure all proposal submissions are compliant with RFP/RFQ instructions, including page limits, formatting requirements, and required attachments.
- Coordinate with subconsultants and teaming partners to collect required information, certifications, and materials for joint-venture or prime/sub submissions.
Content Management & Database Maintenance
- Maintain and continuously update a library of standard proposal content including project descriptions, resumes, boilerplate firm information, awards, certifications, and photography.
- Manage the firm's project experience database, ensuring project data, images, and references are current and accurately reflect completed and ongoing work.
Coordination & Communication
- Communicate submission status, outstanding items, and deadlines clearly to all internal contributors and stakeholders.
- Coordinate printing, binding, digital packaging, and delivery of proposal submissions, ensuring on-time delivery through required channels (electronic upload, mail, or hand delivery).
Required Skills & Qualifications
- Bachelor's degree in Marketing, Communications, English, Journalism, or a related field.
- 2–4 years of experience in a marketing or proposal coordination role, preferably within an AEC or professional services firm.
- Strong writing, editing, and proofreading skills with the ability to translate technical content into clear, compelling narratives.
- Proficiency in Adobe InDesign and Microsoft Office Suite (Word, PowerPoint, Excel); experience with Adobe Illustrator or Photoshop a plus.
- Highly organized with the ability to manage multiple deadlines simultaneously in a fast-paced environment.
- Experience with CRM or opportunity tracking platforms (e.g., Deltek Vision/Vantagepoint, Salesforce) preferred.
- Knowledge of public sector procurement processes and SF330 federal qualification forms a plus.
Pay: $52,000.00 - $60,000.00 per year
