Marketing Coordinator & Executive Assistant to the CEO

Continuing along it highly successful growth trajectory, SFFedCU is seeking a Marketing Coordinator & Executive Assistant to the CEO for our Golden Gate Branch in San Francisco.

The Position

The Marketing Coordinator & Executive Assistant to the CEO is responsible for providing hands-on operational support to ensure smooth day-to-day operations within the Marketing Department and Office of the CEO. This role supports both the Marketing function (70%) and the Chief Executive Officer (30%). The Marketing Coordinator drives day-to-day campaign execution, brand consistency, vendor coordination, and event logistics. The Executive Assistant component provides high-level calendar management and administrative support to ensure the CEO’s time is optimized and aligned with organizational priorities. This role requires exceptional organization, discretion, attention to detail, and the ability to manage multiple priorities in a fast-paced, growth-oriented environment.

As a non-exempt position, this role is eligible for overtime in accordance with applicable wage and hour laws.

Primary Responsibilities

70% – Marketing Coordination

Campaign & Content Execution

  • Coordinate execution of marketing campaigns across digital, branch, email, and social channels
  • Manage campaign timelines and ensure deadlines are met
  • Assist in content drafting, editing, and proofing (email, web, signage, collateral)
  • Ensure brand consistency across all materials

Project & Vendor Coordination

  • Serve as liaison between marketing, branches, lending, and external vendors
  • Track deliverables and follow up on outstanding items
  • Coordinate print production and distribution logistics
  • Maintain marketing calendar and promotional schedule

Events & Promotions

  • Support planning and execution of member events, community sponsorships, and branch activations
  • Coordinate materials, signage, and promotional inventory
  • Track post-event results and engagement metrics

Administrative & Reporting Support

  • Maintain marketing asset library and documentation
  • Track campaign performance data and assist in preparing reports
  • Manage invoices and budget tracking for marketing expenses

30% – Executive Assistant to the CEO

Calendar & Time Management

  • Manage CEO’s calendar with precision and strategic prioritization
  • Schedule internal and external meetings, ensuring appropriate preparation time
  • Coordinate Board-related logistics as needed

Meeting & Communication Support

  • Prepare meeting materials and briefing documents
  • Serve as a professional point of contact for senior stakeholders

Administrative Excellence

  • Handle confidential information with discretion
  • Coordinate expense reporting
  • Anticipate scheduling conflicts and proactively resolve them

Who Are You?

Qualifications

Education & Experience

  • Bachelor’s degree in Marketing, Communications, Business, or related field preferred
  • 3–5 years of experience in marketing coordination, executive support, or similar role
  • Experience supporting senior executives strongly preferred

Skills & Competencies

  • Exceptional organizational and time management skills
  • Strong written and verbal communication
  • High attention to detail (especially proofreading)
  • Ability to manage multiple priorities with competing deadlines
  • Professional judgment and discretion
  • Proficiency in Microsoft Office, marketing platforms, and calendar management tools

Schedule & Overtime

This is a non-exempt, hourly position and is eligible for overtime in accordance with federal, state, and local wage and hour laws. Work hours may vary based on business needs.
