Marketing & Proposal Coordinator

Job Summary
We are seeking a Marketing and Proposal Coordinator with 4-6 years of experience in the AEC industry to join our team. This position supports the marketing team in executing marketing strategies and campaigns to promote KEPHART’s services, brand, and portfolio of work. In addition, this role plays a key part in proposal coordination by receiving, preparing, and submitting RFP/Q responses; assisting with writing, editing, and layout; and partnering with leadership to develop strategic, client‑specific proposal content and interview materials. This role involves collaborating with various teams to ensure cohesive, effective, and strategically aligned marketing and proposal efforts.

The ideal candidate is a strong communicator, highly organized, and critical thinker with attention to detail.

RESPONSIBILITIES

Proposal Coordination: Receive, prepare, and submit responses for Requests for Proposals/Qualifications (RFP/Q). Assist in writing, editing, and layout of proposals, and work with leadership to determine strategies, develop client‑specific responses, and prepare materials for interviews.

Content Creation: Maintain content calendar and produce compelling content for various platforms, including the website, social media, blogs, brochures, newsletters, trade publications, and other marketing materials. Create and keep current all marketing materials such as project sheets, resumes, brochures, presentations, and digital assets.

Social Media Management: Manage KEPHART’s social media accounts, creating engaging posts, developing strategies to increase engagement, monitoring performance metrics, and supporting the development and maintenance of the firm’s overall online presence.

Website Management: Update and optimize content on the website to ensure it is current, relevant, and aligned with brand messaging.

Database Management: Maintain and update marketing databases, including project descriptions, staff resumes, proposal materials, and digital assets.

Photography Management: Plan, coordinate, and facilitate photoshoots with clients and photographers to support award submissions and general marketing needs.

Award Submission Management: Plan, coordinate, and prepare professional award submissions, ensuring strong narratives, visuals, and alignment with submission requirements.

Collaboration: Work closely with design and project teams to develop marketing materials and content that highlight KEPHART’s expertise and projects.

Reporting: Track and report on marketing campaign performance and provide insights for improvement.

QUALIFICATIONS

  • 4-6 years of experience in AEC industry, required
  • Proven experience in preparing RFP/Qs, required
  • Proficient Adobe Creative Suites particularly InDesign, required
  • Graphic design skills and strong attention to detail
  • Strong verbal and written communication skills
  • Inquisitive and critical thinker
  • Ability to work independently
  • Bachelor’s degree in marketing, communications, journalism, or a related field, preferred

COMPENSATION

Salary Range: $70,000 to $90,000 per year depending on experience

Potential for an annual bonus based on the company’s profitability and an individual’s job performance

Job Type: Full-time

Pay: $70,000.00 - $90,000.00 per year
