ABOUT THE ROLE

The Marketing & Proposal Specialist or Sr. Marketing & Proposal Specialist is a motivated, detail-driven, and passionate professional who will support our day-to-day marketing efforts, develop winning proposals, and support our strategic business growth. Experience in Adobe InDesign with proficiency in a CRM system are required. This role plays a key part in Citadel’s pursuit efforts, leading and supporting the creation of high-quality proposals, presentations, and marketing materials that position the firm as a trusted construction and program management partner.


ABOUT YOU

We're looking for someone with at least 5 years of marketing and proposal coordination experience within the Architecture/Engineering/Construction (AEC) industry who can manage the end-to-end proposal process with precision, creativity, and strong storytelling. This role is ideal for someone who thrives in a collaborative environment and enjoys blending strategy, writing, design, and coordination to deliver compelling materials that help win new business.


BASIC QUALIFICATIONS

Marketing:

  • Support firmwide marketing initiatives by developing marketing collateral, resumes, project sheets, and qualification packages
  • Assist with brand-building efforts including presentations, internal and external communications, and special marketing initiatives
  • Assist maintaining marketing databases, templates, and content libraries to support efficient pursuit delivery
  • Maintain Company certifications
  • Identify and track sales opportunities, maintain the sales pipeline, and conduct research to support business development efforts.
  • Collaborate closely with internal teams across construction management, program management, and leadership to gather information and refine messaging

Proposals

  • Manage multiple pursuits and deadlines simultaneously while maintaining accuracy and attention to detail
  • Continuously improve proposal processes, tools, and best practices to enhance consistency, efficiency, and quality
  • Craft cohesive proposal narratives that align team strategy, project experience, and client needs
  • Produce visually polished, well-organized materials that align Citadel’s brand standards and elevate overall proposal quality

Branding

  • Monitor logo/branding
  • Maintain Company website
  • Maintain social media feeds

Business Development Support

  • Provide support for business development activities as needed.

REQUIRED QUALIFICATIONS

  • 5-10 years of experience as a Marketing & Proposal Specialist
  • 7-15 years of experience as Sr. Marketing & Proposal Specialist is required, some of which in the architecture/engineering or construction management industry
  • Proficiency with Adobe InDesign and CRM software is required, Deltek or Unanet/Cosential is preferred
  • Proficiency with MS Office Suite software is required
  • Excellent written and verbal communications skills are required
  • Excellent organizational skills are required
  • Some experience with AI & automation is desirable
  • Ability to handle sensitive information and maintain discretion is required

EDUCATION REQUIREMENTS

  • Graduation from an accredited college or university with a bachelor’s degree in Marketing, Creative Writing, Journalism, English, or related field preferred

Additional Requirement:
Valid and current driver’s license and automobile insurance.


PHYSICAL REQUIREMENTS

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.

In compliance with the local law, we are disclosing compensation, or a range therefore for location where legally required. Actual salaries will vary based on several factors, including but not limited to external market data, internal equity, location, licenses, skill set, experience and/or performance. Base pay is only one component of Citadel’s total compensation packages for employees.


Pay range for the Marketing & Proposal Specialist is $60,000 - $80,000 salary per year.

Pay range for the Sr. Marketing & Proposal Specialist is $75,000 - $90,000 salary per year.
