Materials Coordinator - AMBULATORY SURGERY CENTER

Position Summary:
Airway Outpatient Surgical Center is seeking an experienced and highly organized Materials Coordinator to manage and oversee all aspects of medical supplies, equipment, inventory, and materials operations. This role is critical to the center’s long-term success and operational efficiency. The Materials Coordinator will bring structure, cost control, and accountability to inventory management while ensuring that clinical teams have what they need to provide exceptional patient care.

This position requires prior experience in an Ambulatory Surgery Center (ASC) setting. Experience with ENVI inventory systems and HST is highly preferred. As our case volume continues to grow, establishing this role now allows us to build strong systems, set accurate par levels, finalize inventory processes, and create sustainable workflows. This position will also relieve clinical staff from inventory and purchasing responsibilities so they can remain focused on patient care.

Key Responsibilities:

  • Own and manage all medical and surgical supply inventory, including:
  • Establishing and maintaining par levels
  • Monitoring usage trends
  • Preventing stockouts and overstocking
  • Ensuring accurate case costing by posting supplies used on cases into inventory
  • Complete setup and ongoing management of the inventory system (ENVI experience strongly preferred)
  • Evaluate and coordinate requests for new products or supplies from providers, including:
  • Clinical need review
  • Cost analysis
  • Contract and vendor comparisons
  • Centralize all purchasing activities to:
  • Reduce uncoordinated, daily ordering
  • Strengthen cost containment
  • Standardize vendors and products
  • Gather, organize, and maintain all vendor contracts and load them into the system for tracking and compliance
  • Coordinate closely with Accounts Payable:
  • Ensure invoices are approved, coded, and processed in a timely manner
  • Support development of a centralized approval workflow
  • Oversee capital equipment and asset management:
  • Track equipment inventory
  • Maintain records for warranties, repairs, and replacements
  • Maintain strong relationships with vendors and negotiate pricing and service standards when appropriate
  • Collaborate with clinical leadership, sterile processing, and administration to support daily operations
  • Develop and document standardized materials management processes and workflows
  • Serve as the primary point of accountability for all materials management functions

Required Qualifications:

  • Prior experience working in an Ambulatory Surgery Center (ASC) is required
  • Experience with ENVI inventory systems is highly preferred
  • Experience with HST is highly preferred
  • Strong understanding of surgical supplies, sterile processing workflows, and case costing
  • Proven experience in materials management, inventory control, or supply chain operations in a healthcare environment
  • Strong organizational and follow-through skills
  • Ability to manage multiple priorities and meet deadlines with accuracy
  • Strong analytical, critical thinking, and problem-solving skills
  • Proficiency with inventory systems, spreadsheets, and purchasing platforms
