Position Summary:

Facilitating New Employee Orientation, which includes individual sessions as needed. Responsible for onboarding all candidates with offers extended. This includes and is not limited to processing background screening for all positions within the company. This includes contractors and practicum students who have been approved. Coordinating with hiring managers and Human Resources team is required when scheduling orientation dates. Maintain schedules and appointments for designated Senior Leadership.

Essential Job Functions:

  • Facilitating New Employee Orientation and the onboarding process to include initiating and tracking various screenings based on role, coordinating start dates and keeping in communication with all interested parties.
  • Ensure all information for new hires, documentation for contractors and practicums are completed within required guidelines for compliance purposes and entered accurately into the HRIS.
  • Provide candidate information regarding orientation once a potential new hire has cleared all screenings and a start date is established.
  • Send required notifications via TEAMS to those candidates not attending on-site. Include hiring managers and designated staff. Confirm receipt of invite with candidates via phone and Heymarket on same day.
  • Via email, provide all Teams invited candidates all required documentation for their first day. Copy hiring manager and/or designee on email.
  • Will manage executive leadership calendars, meetings, travel arrangements for CEO, CFO and President. Ensuring efficient scheduling and communication. Handles confidential information with discretion and maintains a high level of professionalism in all interactions.
  • Call all candidates scheduled to attend in person New Employee Orientation to confirm attendance. Confirm orientation date and address for site of where orientation is to be conducted.
  • Ensure accurate setting up of all new employees in HRIS to include, but not limited to labor allocations, DOL status, benefits eligibility, HER access, IT, tax (federal and state) profile and workers compensation insurance coding.
  • Assist with HR projects, employee events and engagement activities.

Education and Experience:

  • High School Diploma or General Education Diploma (GED) required.
  • Bachelor's Degree preferred.
  • SHRM Certification preferred.
  • Minimum 2-3 years in HR support, coordination or administrative roles required.
  • At least 2 years of onboarding experience required.
  • Proficiency with HRIS systems, MS Office, Excel and PowerPoint.
  • Strong critical thinking skills
  • Excellent verbal and written communication and presentation skills required.
