1. Commercial & Business DevelopmentProposal & Estimation
- Review RFQ, tender documents, and technical specifications to understand the scope of work.
- Conduct site visits when required for technical assessment and clarification.
- Prepare detailed technical and commercial proposals for plant machinery maintenance and services.
- Perform cost estimation and costing analysis including manpower, materials, spare parts, equipment, logistics, and overhead costs.
- Ensure quotations are competitive, technically compliant, and commercially profitable.
- Prepare and submit commercial offers and quotations to clients within the required timelines.
Client Coordination
- Attend client meetings, technical discussions, and project interviews when required.
- Provide technical clarifications during bidding and proposal stages.
- Coordinate with internal departments such as operations, procurement, finance, and workshop for proposal preparation and project planning.
Business Development Support
- Identify potential service opportunities with new and existing clients.
- Follow up on submitted quotations and client enquiries.
- Support management in securing Annual Maintenance Contracts (AMC) and long-term service agreements.
Invoicing Coordination
- Coordinate with the accounts department for preparation and submission of invoices.
- Ensure all necessary documents such as service reports, timesheets, and approvals are attached before billing.
2. Service Order (S.O.) Management
- Receive and review approved Service Orders (SO) from clients or the commercial team.
- Verify scope of work, contract value, timelines, and technical requirements.
- Ensure alignment between the approved service order and submitted proposal.
- Open job files and initiate the project execution process.
- Identify any scope variations and report to management for approval.
3. Project Planning & Technical Documentation
- Prepare and submit Method Statement (MS) for project execution.
- Develop Job Hazard Analysis (JHA) for safe work procedures.
- Prepare Inspection & Test Plan (ITP) as per project requirements.
- Obtain necessary client approvals before commencement of work.
- Maintain proper records of all technical documentation and approvals.
4. Operations & ExecutionPlanning & Coordination
- Develop detailed project execution schedules.
- Coordinate with workshop teams and site teams for project activities.
- Ensure availability of tools, equipment, materials, and spare parts.
Manpower Deployment
- Plan manpower requirements based on project scope.
- Mobilize technicians, supervisors, and support staff to the project site.
- Manage manpower mobilization, re-mobilization, and demobilization upon project completion.
Supervision
- Supervise maintenance, repair, overhaul, installation, and servicing of plant machinery.
- Ensure work execution as per approved method statements and safety standards.
- Monitor work productivity, quality performance, and technical compliance.
5. Quality Control & Testing
- Ensure all work is performed in accordance with project specifications, standards, and procedures.
- Conduct inspections as per Inspection & Test Plan (ITP).
- Prepare and submit inspection and testing reports.
- Coordinate with clients for inspection approvals and quality acceptance.
6. Documentation & Reporting
- Prepare Work Completion Reports (WCR) after job completion.
- Maintain daily and weekly progress reports.
- Monitor project cost against the approved budget.
- Maintain complete job file documentation for records and auditing purposes.
7. Final Delivery & Project Closure
- Submit the final documentation package to the client.
- Obtain completion certificates and client sign-off.
- Coordinate with accounts for final invoice submission.
- Close the project officially in the company system and support final account settlement.
8. Health, Safety & Compliance
- Ensure strict compliance with company HSE policies and procedures.
- Conduct risk assessments prior to project execution.
- Ensure proper PPE usage and safety compliance at site.
- Maintain all required safety documentation and records.
Qualifications & Experience
- Bachelor’s Degree in Mechanical Engineering.
- 3–5 years of experience in plant machinery maintenance or industrial services.
- Strong knowledge of diesel engines, hydraulics, rotating equipment, and construction machinery.
- Experience in proposal preparation, tender review, and cost estimation.
- GCC experience preferred.
