Strittmatter Companies is seeking a highly organized Administrative Assistant to support our Mechanic Shop and Fleet Management Division. This individual will play a critical role in coordinating administrative and operational functions for our shop, assisting with maintenance scheduling, parts management, compliance tracking, and recordkeeping for our large fleet of heavy trucks and equipment.
Key Responsibilities
- Provide administrative support to the Fleet Manager, Mechanics and Maintenance Team.
- Manage and organize daily work orders, service tickets, and equipment maintenance records.
- Track and schedule preventive maintenance, repairs, inspections, and DOT compliance checks.
- Assist with fleet management software (data entry, tracking vehicle status, updating service logs, and scheduling reminders).
- Maintain equipment files, including registration, insurance, inspection reports, and repair histories.
- Communicate with internal departments (dispatch, safety, and operations) regarding equipment availability and downtime.
- Assist with recordkeeping for shop employees (timesheets, attendance, and training).
- Handle general administrative duties such as filing, scanning, answering phones, and correspondence.
Qualifications
- High school diploma or equivalent required; Associate’s degree or business coursework preferred.
- 2+ years of administrative or office experience, preferably in fleet management, transportation, or heavy equipment maintenance.
- Strong working knowledge of Microsoft Office (Excel, Outlook, Word); familiarity with fleet or maintenance software systems preferred.
- Excellent organizational skills, with attention to detail and accuracy in recordkeeping.
- Ability to prioritize tasks and manage multiple projects in a fast-paced environment.
- Strong communication and interpersonal skills for effective collaboration across departments.
- Understanding of DOT compliance, maintenance scheduling, and fleet record management is a plus.
