Position Summary:
The Media Center and Special Education IEP Administrative Specialist supports the daily operations of the school library media center while providing administrative support to the special education team. The position assists students and staff in accessing library resources, manages circulation and organization of materials, and maintains a welcoming and efficient learning environment. In addition, the specialist coordinates and prepares IEP documentation, tracks compliance timelines, schedules meetings, and maintains accurate special education records in accordance with federal, state, and district requirements. The role works collaboratively with teachers, administrators, special education staff, and families to support student learning and ensure effective library and special education services.
Essential Duties and Responsibilities:
- Operate the district library management system to circulate materials, process holds and interlibrary loans, maintain patron records, and manage overdue or lost items;
- Assist students and staff in accessing print and digital resources and navigating the library catalog and research tools;
- Supervise students in the library media center and maintain a safe, organized, and welcoming learning environment;
- Support minor student technology issues at building level;
- Work alongside district technology team;
- Support teachers by locating and preparing instructional materials and assisting with access to digital databases and library resources;
- Assist with library programs and events such as book fairs, author visits, literacy displays, and reading initiatives;
- Maintain and manage the library collection, including processing new materials, shelving books, inventory, and monitoring the condition of resources;
- Support distribution and tracking of student devices, provide basic troubleshooting, and coordinate device issues with the building technology coordinator;
- Manage scheduling for library space, materials, and technology, and help maintain library equipment and software systems;
- Assist with ordering, tracking, and maintaining records for library materials and supplies in coordination with office staff and vendors;
- Train and supervise student aides or volunteers and perform clerical duties necessary to support daily library operations.
Special Education IEP Administrative Assistant:
- Track and maintain all required special education documentation and timelines, including consent forms, notices of meeting, progress reports, evaluations, and related paperwork;
- Prepare, organize, and distribute documentation for IEP, eligibility, reevaluation, and transfer meetings;
- Maintain and update electronic special education records and data systems, including uploading documentation and entering progress monitoring data;
- Coordinate and schedule IEP and evaluation meetings with staff and families, and maintain a calendar of required meetings;
- Notify families and staff of meetings in accordance with legal notice requirements and district procedures;
- Assist special education staff in preparing initial, reevaluation, and transfer IEP documentation, including coordination of multidisciplinary evaluation reports;
- Coordinate with school psychologists and special education staff regarding incoming transfer IEPs and evaluation documentation;
- Assist the special education team with finalizing, distributing, and maintaining IEP records in accordance with district procedures and confidentiality requirements;
- Provide behavior support assistance to students when needed under the direction of certified staff;
- Perform other duties as assigned by building administration or the district Special Education department;
- Perform other duties as assigned by the principal or district administration.
