Medicaid Legal Case Coordinator (Elder Law)

Job Overview
The Treat Law Firm, PLLC d/b/a Estate and Elder Law Planning Center is hiring aMedicaid Legal Case Coordinator to support our growing Long-Term Care Medicaid and Elder Law department.

This is a legal case coordination role within a law firm and focuses on documentation, applications, deadline management, and communication with government agencies. It is not a clinical or nursing position.

This role is a great fit for someone who thrives on organization, deadlines, and detail-driven work, and who communicates with calm confidence when families are under stress. You’ll play a key role in helping clients and their families navigate complex processes during some of life’s most challenging moments.

You will routinely work with clients (and their adult children or agents under powers of attorney), care facilities, financial institutions, and government agencies to help move matters forward in a professional, timely, and accurate way.

This position involves working with financial and property records, assembling applications and supporting documentation, tracking deadlines, and keeping multiple moving parts on track.

Compensation is commensurate with experience and responsibility.
Prior legal experience is preferred but not required. We provide structured training for the right candidate.

What You’ll Do (Core Responsibilities)

  • Communicate with clients, family members/POAs, care facilities, financial institutions, and government agencies.
  • Gather, review, organize, and track documentation (financial records, property records, account statements, verification letters, etc.).
  • Prepare and assemble forms, applications, and supporting documentation for submission to third parties and/or government entities.
  • Track deadlines, follow-ups, and case status updates so matters move forward without delay.
  • Maintain clear, organized notes and task lists in firm systems (legal software, documents, spreadsheets).
  • Draft and send routine correspondence and assist with related case and office support tasks.
  • Follow established checklists and workflows and contribute ideas to improve processes over time.

Required Qualifications & Skills

  • Proficiency in Microsoft Office (especially Word and Excel).
  • Strong writing and proofreading skills.
  • High level of organization and follow-through (checklists are a feature, not a burden).
  • Strong attention to detail, especially with financial and documentation-heavy work.
  • Ability to take thorough, concise, and organized notes.
  • Ability to work efficiently while maintaining quality and accuracy.
  • Comfortable learning new technology and adapting to process improvements.
  • Professional, compassionate communication style—especially with seniors and stressed families.
  • Ability to handle confidential information with discretion.

Preferred Qualifications & Experience

  • Legal office, paralegal, or legal assistant experience.
  • Experience in healthcare administration, benefits coordination, banking/finance, insurance, social services, or other documentation-heavy roles.
  • Familiarity with estate planning and/or long-term care Medicaid.
  • Experience reviewing or analyzing financial records and property documentation.
  • Experience in legal case coordination, document-intensive environments, or regulated industries strongly preferred.
