Your Role & Responsibilities
The Medical Administrative Assistant supports the immigration physical process by serving as a primary point of contact for clients. This role works closely with clinic staff, the Immigration Physical Medical Reviewer (IPMR), and the Civil Surgeon (CS) to ensure all client requirements are completed accurately and efficiently. Responsibilities include coordinating documentation, monitoring test results, preparing immigration forms, and ensuring compliance with USCIS requirements.

Job Details
  • Location: Denver, CO Metro Area with flexibility with local coverage and travel as needed
  • Full-Time / Monday – Friday / 8:00 AM – 4:30 PM
Key Responsibilities
  • Serve as the main contact for immigration clients from Visit 1 through Visit 2 and final documentation completion.
  • Transcribe client and clinical information into the appropriate sections of Form I-693.
  • Collect, scan, and upload required client documentation into EMR or shared systems.
  • Monitor laboratory results and notify the IPMR when results are ready for review.
  • Coordinate with the IPMR to complete required vaccines, tests, or referrals before Visit 2.
  • Notify the IPMR when additional orders or requirements are completed and ready for review.
  • Monitor Civil Surgeon schedules to ensure clients have completed all required tasks prior to Visit 2.
  • Prepare or coordinate preparation of required documentation for Civil Surgeon appointments.
  • Review final Form I-693 for completeness prior to sealing according to USCIS guidelines.
  • Scan and upload finalized I-693 forms into the client’s EMR.
  • Submit reporting through eMedical for clients with tuberculosis classifications.
  • Generate invoices and collect payment for additional immigration exam fees, as applicable.
  • Serve as a resource for Client Services regarding current or past immigration clients.
Additional Responsibilities
  • Manage lab supply inventory and ordering if laboratory draws occur in-clinic.
  • Support immigration exam business development initiatives as assigned.
  • Assist with daily clinic operations, including helping walk-in clients and accepting shipments.
  • Perform additional tasks as assigned by the Immigration Exam Program Coordinator.
Qualifications
  • 3–5 years of administrative experience in a healthcare setting.
  • Strong attention to detail and ability to manage multiple priorities.
  • Highly proficient with computers.
  • Excellent oral and written communication skills.
  • Flexible team player who interacts well with individuals from diverse backgrounds and cultures.
  • Experience as a Medical Assistant (MA) or Certified Medical Assistant (CMA) is highly preferred.
