Medical Administrative Assistant

Job Overview
We are seeking a dynamic and detail-oriented Medical Administrative Assistant to join our healthcare team. In this vital role, you will serve as the first point of contact for patients and healthcare providers, ensuring smooth clinic operations and exceptional patient service. Your expertise in medical administrative support, combined with your knowledge of various medical specialties such as dermatology, urgent care, hospital medicine, and emergency medicine, will help facilitate efficient patient flow and accurate record-keeping. This position offers an exciting opportunity to contribute to high-quality patient care within a fast-paced clinical environment, supporting both outpatient and inpatient services across diverse medical disciplines.

Duties

  • Greet patients warmly, verify their information, and assist with appointment scheduling and check-in procedures.
  • Collect and document vital signs, patient histories, and current medications accurately using electronic health record (EHR) systems.
  • Assist healthcare providers with clinical tasks such as intake assessments, basic life support (BLS), and recording patient data related to physiology, anatomy, ICD coding, and medication administration.
  • Prepare examination rooms by ensuring cleanliness and readiness for procedures including X-ray or other diagnostic tests when applicable.
  • Manage patient records meticulously, ensuring compliance with privacy regulations while updating EHR systems with accurate documentation of patient care activities.
  • Coordinate referrals, follow-up appointments, and communication between patients and providers across outpatient clinics or hospital settings such as Level I or Level II trauma centers.
  • Support hospital medicine units or specialized areas like PICU (Pediatric Intensive Care Unit), Geriatrics, Medical-surgical wards, or OR (Operating Room) environments by assisting with patient intake and documentation processes.
  • Handle administrative duties including answering phones, managing correspondence, processing insurance claims related to ICD coding, and maintaining detailed logs of all interactions.
  • Collaborate with multidisciplinary teams in emergency medicine or inpatient units to ensure timely delivery of patient care services.

Experience

  • Proven experience in a medical administrative support role within outpatient clinics or hospital settings is essential.
  • Prior exposure to dermatology, urgent care, internal medicine, or emergency medicine environments is highly desirable.
  • Familiarity with EHR systems used in Level I Trauma Centers or Level II Trauma Centers is preferred.
  • Knowledge of medical terminology, physiology, anatomy, ICD coding standards, and medication administration procedures is required.
  • Experience working in hospital medicine units such as PICU or Geriatrics enhances your ability to support diverse patient populations effectively.
  • Demonstrated ability to handle intake processes efficiently while maintaining accuracy in vital signs documentation and patient records management.
  • Certification in Basic Life Support (BLS) is a plus; however, training can be provided for qualified candidates eager to expand their skills in emergency medicine settings.
