Duties
- Provide comprehensive administrative support within a behavioral health clinic setting, including scheduling appointments and managing patient intake processes.
- Utilize electronic health record (EHR) systems such as Epic, Meditech, Athenahealth, eClinicalWorks, or Dentrix to document patient encounters accurately and review medical records for completeness.
- Verify insurance coverage and benefits, including Medicare and Medicaid, ensuring proper authorization and billing procedures are followed.
- Handle medical billing and coding tasks using CPT (Current Procedural Terminology), ICD-9/10 (International Classification of Diseases), and ICD coding to ensure accurate reimbursement.
- Manage front desk operations with multi-line phone systems, greeting patients professionally while demonstrating excellent phone etiquette.
- Maintain patient confidentiality in compliance with HIPAA regulations by securely managing medical records and health information.
- Assist with care plan documentation review, appointment reminders, and follow-up scheduling to enhance patient engagement and clinic efficiency.
- Support medical collection efforts by following up on outstanding balances and processing payments through EMR systems like Meditech or Athenahealth.
- Perform clerical duties such as filing, data entry (including 10-key typing), faxing, scanning documents, and managing office supplies to ensure seamless clinic operations.
- Coordinate with healthcare providers to facilitate accurate documentation review and ensure compliance with medical office management standards.
Experience
- Prior experience working in a medical office environment or healthcare setting is required; clinic experience in behavioral health is highly preferred.
- Familiarity with EMR/EHR systems (Jane experience a plus); willingness to learn is essential.
- Strong knowledge of medical terminology, CPT coding, ICD coding (ICD-9/10), and insurance verification processes.
- Experience handling medical billing and collections within a healthcare practice is highly desirable.
- Bilingual abilities are a plus to effectively communicate with diverse patient populations.
- Excellent computer skills including Microsoft Office Suite (Word, Excel) along with familiarity with health information management software like Eaglesoft or Dentrix.
- Proven customer service skills with the ability to handle multi-line phone systems professionally while maintaining a friendly demeanor.
- Office management or administrative experience in hospital or dental clinics will be considered an asset.
