Medical Administrative Assistant / Front Desk Coordinator

Summary:

Established private rheumatology practice seeking a dependable, organized, and personable Medical Administrative Assistant / Front Desk Coordinator to join our team. We are a specialty practice with in-office infusion services, X-ray, and laboratory services, looking for someone who can multitask, work independently, and help create a positive patient experience in a fast-paced medical office environment.

Job Type:
Part-time

Pay:
$15.00–$17.50 per hour depending on experience

Expected Hours:
Approximately 25–32 hours per week

Typical Office Hours:

  • Monday–Wednesday: approximately 7:15 AM – 4:00 PM
  • Thursday: approximately 7:15 AM – 12:00 PM
  • Closed Fridays

Some scheduling flexibility may be available for the right candidate.

Responsibilities:

  • Answering phones and scheduling appointments
  • Patient check-in and check-out
  • Insurance verification and referral coordination
  • Managing incoming faxes, records, and paperwork
  • Collecting copays and discussing balances with patients
  • Pulling, organizing, and filing paper charts and patient records
  • Entering and updating patient demographics in the computer system
  • Supporting day-to-day front office workflow
  • Filling in for medical assistant duties as needed
  • Providing professional and compassionate customer service to patients
  • Other duties as assigned by physicians or practice management

Qualifications:

  • Prior medical office experience preferred
  • Experience with insurance verification and referrals preferred
  • Experience with Veradigm (formerly Allscripts) PM is a plus
  • Strong organizational and multitasking skills
  • Basic knowledge of HIPAA, medical terminology, CPT, and ICD-10 preferred
  • Professional phone etiquette and communication skills
  • Dependable, detail-oriented, and professional
  • Ability to work independently and efficiently in a busy environment
