Medical Administrative Office Support

Job Summary
We are seeking a proactive and detail-oriented Medical Administrative Office Support to join our healthcare team. Responsibilities

  • Manage patient appointments, scheduling, and cancellations using EMR (Electronic Medical Records) systems such as Epic, Meditech, Athenahealth, or eClinicalWorks.
  • Verify insurance coverage, perform insurance eligibility checks, and process claims for Medicare, Medicaid, and private insurers.
  • Handle patient check-in and check-out procedures with professionalism and excellent phone etiquette on multi-line phone systems.
  • Review and maintain accurate medical records, ensuring compliance with HIPAA regulations and proper documentation review practices.
  • Assist with billing processes including medical collection efforts, CPT coding, ICD-10/ICD-9 coding, and medical billing procedures.
  • Support clinical staff with intake procedures, care plan documentation, and medical record filing using dental or hospital-specific software such as Eaglesoft or Dentrix when applicable.
  • Perform general clerical duties such as data entry (including 10 key typing), filing, faxing, scanning documents, and managing office supplies.
  • Maintain a friendly front desk presence by providing excellent customer service to patients and visitors while managing multi-line phones efficiently.
  • Coordinate with insurance companies for verification purposes and assist in the preparation of documentation for billing or audits.

Requirements

  • Prior experience in a medical office setting or clinic environment is highly preferred; dental clinic experience is a plus.
  • Strong knowledge of medical terminology, ICD coding (ICD-10/ICD-9), CPT coding, and health information management practices.
  • Familiarity with EMR/EHR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, Dentrix or Eaglesoft is essential.
  • Excellent computer skills including proficiency in Microsoft Office Suite (Word, Excel) and office management software.
  • Ability to handle sensitive patient information in accordance with HIPAA regulations with discretion and professionalism.
  • Bilingual abilities are advantageous to serve diverse patient populations effectively.
  • Exceptional organizational skills with attention to detail in documentation review and data entry tasks.
  • Strong communication skills coupled with courteous phone etiquette; experience managing multi-line phone systems preferred.
  • Experience in medical billing or insurance verification processes is highly desirable; familiarity with Medicare guidelines is a plus.
