Job Summary

The Medical Assistant Receptionist provides specialized engagement and support activities to clients participating in the Center's Treatment Programs. This position is responsible for providing support to ensure efficient operation of the medication management clinic in addition to the front office and client flow. The Medical Assistant Reception will greet clients and guests, take vital signs, answer phones, schedule appointments, and support psychiatry nurse practitioners, fellows, residents, and psychiatrists in a variety of tasks as needed. In addition, this position is responsible for processing copays, completing, and submitting prior authorizations, and responding to requests for information from patients, pharmacies, and insurance companies.

Essential Duties and Responsibilities

  • Responsible for opening and/or closing of Center; participate in buddy system rotation.
  • Greet clients and guests in a friendly manner. Answers and returns calls regarding prescriptions.
  • Take vital signs, and records data on client chart.
  • Schedule clients for follow-ups with doctors, making sure of accuracy to maintain good flow of office appointments.
  • Conduct confirmation calls daily for the next day's appointments. Notify providers of same day cancellation and schedule changes.
  • Request and monitor insurance and Medicaid Prior Authorizations to avoid any loss of funds.
  • Monitor no show rates within the psychiatry program. Prepares and completes all Prior Authorization for medication. Retrieves lab results and uploads them into electronic health records.
  • Assist providers in ensuring parents/clients comprehend instructions given by providers. Point of contact for clients/Legally Authorized Representatives (LAR) when calling in regarding medication or provider related questions. Responsible for collecting client copays, deductibles, and balances. Work directly with the Office Supervisor to identify reasons for client balances.
  • Notify doctors of client's arrival.
  • Distribute and input data from client Surveys semi-annually and complete other Performance and Quality Improvement (PQI) duties as assigned.
  • Retrieve Doctor's dictations, log, and transcribe as requested.
  • Complete letters requested by clients such as emotional support and diagnosis letters.
  • Data entry of client assessments and/or other client-related documents for psychiatry program
  • Collect and enter information for potential clients into Electronic Health Records (EHR) system.
  • Maintain physician caseloads to ensure accuracy. Complete tasks and projects as assigned by management Team.
  • Conduct vitals on all clients scheduled for psychiatry appointments, maintain provider schedules and adjust based on client/physician needs.

Required/Preferred Education and Experience

  • Requires High School Diploma or Equivalent
  • Certified Medical Assistant Certification preferred.
