Lead Medical Assistant (Clinical Operations Coordinator)
Location: Las Vegas, NV (multi-site coverage) | Department: Primary Care Clinics | FLSA: Non-Exempt
Position Summary
The Lead Medical Assistant (Clinical Operations Coordinator) provides day-to-day leadership for the medical assistant team while overseeing value-based care activities across our clinics. This role coordinates closely with clinic managers, providers, and corporate teams to prioritize preventive visits, support HEDIS measure completion, track daily progress, and produce routine reports. The Lead MA serves as a primary point of contact for clinic partners, manages patient data accurately in the EHR, and models high standards of clinical quality, safety, and patient experience. This position requires independent judgment, attention to detail, and bilingual communication (English/Spanish).
Essential Responsibilities
- Leadership & Supervision
- Provide day-to-day direction and informal supervision of Medical Assistants, including daily huddles, room assignments, and coverage for breaks and high-volume periods.
- Support onboarding, training, and competency validation; precept new MAs and cross-train staff on core workflows and protocols.
- Monitor throughput, task closure, and patient flow; escalate barriers and implement countermeasures to meet access and quality goals.
- Value-Based Care & Quality
- Manage detailed patient lists/registries; prioritize scheduling of preventive and chronic care visits to close care gaps.
- Coordinate completion of required HEDIS measures in partnership with clinic staff and providers; track daily progress to targets.
- Prepare and submit daily/weekly reports supporting corporate stakeholders; ensure data accuracy and timeliness.
- Clinical Support
- Room patients; obtain and document vital signs, medical histories, and medication lists in the EHR.
- Assist providers with exams and procedures within scope; perform injections, EKGs, specimen collection, and point-of-care testing.
- Administer immunizations and medications per orders and policy; maintain exam rooms, supplies, and equipment readiness.
- EHR, Data & Workflow Optimization
- Serve as an EHR resource for the MA team; promote documentation standards and accurate coding support (as allowed by policy).
- Audit data quality (e.g., problem list, immunization status, vitals, screenings) and coach staff to correct issues in real time.
- Partner Relations & Communication
- Act as primary point of contact for designated clinic partners and corporate team members; coordinate information flow and follow-through.
- Deliver clear, bilingual (English/Spanish) communication with patients and staff; support service recovery and escalation handling.
- Compliance & Safety
- Ensure adherence to HIPAA, OSHA, infection prevention, and safety standards; maintain logs and readiness for audits.
- Oversee CLIA-waived testing controls and documentation; monitor vaccine cold chain (if applicable).
- Supplies & Operations
- Monitor inventory; coordinate ordering and cost-effective utilization of supplies and vaccines; ensure equipment maintenance.
- Support scheduling coordination and staffing coverage across clinics during surges, PTO, or vacancies.
Qualifications
- High school diploma or equivalent.
- Fluency in English and Spanish (required).
- Two (2)+ years of experience as a Medical Assistant in an outpatient/primary care setting; prior lead or charge responsibilities preferred.
- Graduation from an accredited MA program (preferred).
- Current Medical Assistant certification (e.g., CMA, RMA, CCMA) preferred.
- Current BLS certification (or ability to obtain prior to start).
- Proficiency with EHRs and Microsoft Excel/Google Sheets for list management and reporting.
- Strong communication, coaching, organization, and problem-solving skills; able to work independently with high attention to detail.
Schedule & Travel
Full-time, onsite. May include occasional early mornings, evenings, or weekends to meet program needs. Must be able to travel between clinics within the Las Vegas area; reliable transportation required.
Physical Demands & Work Environment
Prolonged periods of standing and walking; frequent bending and reaching. Must be able to lift up to 25 pounds, assist with patient positioning, and utilize personal protective equipment as required. Work is performed in an outpatient clinical environment with regular patient contact.
